What are the responsibilities and job description for the Office Assistant position at Autism Spectrum Therapies?
Overview
One of the most well-known and respected ABA agencies in the country, Autism Spectrum Therapies (AST), is looking for a full-time Office Assistant to join our team. The role is a direct report to the Clinical Director and is responsible for managing multiple tasks in a busy, high-volume office.
AST provides individuals diagnosed on the autism spectrum with a range of services from infancy through adulthood, as well as, comprehensive training and support for parents and families in their home and communities.
Responsibilities
- General office duties including maintaining supply inventories, mail and fax distribution, and photocopying
- Create, organize and maintain office filing systems, send files to storage facilities, as needed
- Create and maintain picture library of program materials used during intervention sessions
- Assist in preparation for monthly training; create new hire training binders, bags and badges
- Process I-9 Form to verify the identity and work eligibility of new employees hired
- Responsible for keeping the office tidy and organized, including maintaining office equipment and decorating the area when appropriate
- Additional responsibilities as requested by Clinical Director, Staff Support Manager, or other staff
Qualifications
- Bilingual, Spanish fluency highly preferred
- High School Diploma required
- Prior administrative experience in an office setting managing a high call volume
- Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
- Proven ability to multi-task, prioritize and organize effectively with a professional and patient demeanor
- Strong attention to detail, accuracy, and follow-through
- Excellent upbeat telephone skills, customer service, and communication skills
- Ability to quickly learn new software programs as needed
