Position Requirements
RECEPTIONIST
TITLE OF SUPERVISOR: DIRECTOR
UNIT: ADMINISTRATION
STATUS: NON-EXEMPT
While this position requirement statement is intended to be an accurate reflection of the job requirements, management reserves the right to modify, add, or remove duties from particular jobs and to assign other duties from particular jobs and to assign other duties as necessary. This position is responsible for following ATC Policy and Procedure & conducting all work tasks with constant attention to safety for self and others.
Purpose: Receptionist will provide technical support and assistance in all clerical/office functions that pertain to the San Antonio Program.
Essential Functions: Those tasks that must be performed by all in this job category include, but are not limited to:
Basic Responsibilities
- Answer main phone. Screen and transfer calls respectively.
- Responsible for answering 3-line phone system.
- Primarily responsible for the reception/foyer’s appearance. Required to keep area clean and professional during business hours.
- Sort and distribute mail and packages.
- Create and organize sign-in sheets for Admin and EDU.
- Create employee ID badges
- Assisting other departments as needed.
- Document/log all new entry forms from people inquiring about services that are forwarded by the Director.
- Create Spirit Week Calendar as needed
Daily
- Sign in/our visitors in visitor’s log; Greet visitors. Administer visitor’s badges.
- Administer applications and associated papers to applicants seeking employment.
- Report needed repairs and maintenance to the Maintenance Coordinator using the work order log
- Document/log all new entry forms from people inquiring about services that are forwarded by the Director.
- Communicate transportation drop off/pick up with EDU department
- Call previous employers for prospective employees reference checks as directed by HR Manager.
- Handle sensitive information in a confidential manner
- Refrain from engaging in gossip. Maintain confidentiality of office.
Weekly
- Attend meetings/in-services/training as scheduled or required.
- Make sure staff kitchen is properly stocked (plates, spoons, forks, plates, etc.)
- Clean out refrigerator in kitchen every Friday afternoon ensuring infection control compliance.
Monthly
- Create and Distribute celebration cards - Monthly.
- Attend Committee meetings as assigned
Quarterly
- Prepare for Board Meetings (packets, documents, lunch)
Annually
- CAC Survey; collects and forwards to Director
As Needed
- Distribute paychecks.
- Observe and report any indication of abuse and neglect to Supervisor or Rights Protection Officer.
- Report any illness, injury, or medical problem to the Nursing Department.
- Report hazardous conditions of equipment and buildings to Maintenance Coordinator as soon as possible.

Minimum Qualifications:
- High school diploma or equivalent and prefer 1-2 years previous experience in administrative role or customer service position . Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, Powerpoint) or ability to learn.

Safety and Health Risks

Physical Job Requirements:
O = Occasionally (1 – 33%)
F = Frequently (34-66%)
C = Constantly (67 – 100%)
- (O) Lift and carry up to 25 lbs.
- (C) Dexterity to grasp small objects.
Hours of Work:
40 Hours Weekly – 8:00 – 4:30 30 Minute lunch daily.
Flexible according to needs of the Program; however, Supervisor must approve deviations from this schedule.
