OFFICE ASSISTANT
TITLE OF SUPERVISOR: DIRECTOR
UNIT: ADMINISTRATION
STATUS: NON-EXEMPT

This position is responsible for following ATC Policy and Procedure & conducting all work tasks with constant attention to safety for self and others.
Purpose: The Office Assistant will provide support and assistance in all clerical/office/HR functions that pertain to the San Antonio Program.
Essential Functions: Those tasks that must be performed by all in this job category include, but are not limited to:
Daily
- Provide support to Director & Program Personnel as assigned by the Director/ as needed.
- Ensure the timely and correct completion of typing and filing for Director and Program personnel as assigned (with the Director’s approval).
- Report needed repairs and maintenance to the Maintenance Coordinator using the work order log.
- Handle sensitive information in a confidential manner
- Refrain from engaging in gossip. Maintain confidentiality of office.
- Assist with day-to-day administrative operations for the administrative team while managing multiple tasks assigned by different team leaders.
- Manage the front desk as needed and ensure a welcoming environment.
Weekly
- Update current Consumer enrollment interest/waitlist.
- Attend meetings/in-services/training as scheduled or required.
- Order supplies-office/copier/computer supplies when requested, with approval from Director.
- Inventory on hand basic office supplies.
- Assisting with shredding old documents.
- Behavioral tallies for Case Manager.
- File, Body Checks, Behavior Reports, and Injury Reports.
- Input and file In-Services.
- Help Residential Coordinator maintain/organize/inventory and distribute storage pantry items.
Monthly
- Maintain Sign-in sheets/Attendance for Education Department.
- Update Residential Phone Listing Form.
- Update Current Individual List (as needed).
- Ensure behavioral tallies before the 5 day of each month for Psych Evaluations.
- Schedule employees for CPR and SAMA trainings with help from HR.
- Update/track employee training files.
- Keep track of employee driver’s license and let them know when new copies are needed.
- Maintain CPR binder.
As Needed
- Assist Maintenance with scheduling of annual and routine inspections per the Maintenance Coordinator's instruction.
- Observe and report any indication of abuse and neglect Rights Protection Officer.
- Process prospective/ new hire paperwork
- Assists with new hire orientation and onboarding process to ensure a smooth and welcome transition for the new employee.
- Assists with set up and maintenance of electronic personnel files and ensures data is compliant and appropriate record keeping is maintained.
- Assists with compliance of client contracts.
- Report any illness, injury, or medical problem to the Nursing Department.
- Report hazardous conditions of equipment and buildings to Maintenance Coordinator as soon as possible.

Minimum Qualifications:
Associate degree or higher and prefer 1-2 years of previous experience in an administrative role or customer service position. Proficient with Word, Excel, PowerPoint, Acrobat Adobe, Microsoft Teams, and Google (email, calendar, docs, sheets, slides, drive, etc.)
Skills/Abilities:

Safety and Health Risks
- Slip and fall exposure.
- Physical and verbal abuse exposure from Consumers and/or their families.
- Exposure to muscle strains from lifting, stooping, reaching, and twisting.
Physical Job Requirements:
O = Occasionally (1 – 33%)
F = Frequently (34-66%)
C = Constantly (67 – 100%)
- (O) Lift and carry up to 25 lbs.
- (C) Dexterity to grasp small objects.
Hours of Work:
40 Hours Weekly – 8:00 – 4:30 (30 Minute lunch daily.)
Flexible according to needs of the Program; however, Supervisor must approve deviations from this schedule.
