Automation Controls is seeking a highly organized and motivated individual to join our team as an Administrative Coordinator and Receptionist (full time 40hrs/wk). This dual-role position requires an efficient and personable individual who excels in both administrative support and customer service. They will be responsible for receiving parts, shipping/logistics, invoices and database management. Automation Controls is a local business in Newport News that has been operating and manufacturing electrical control panels for almost 60 years.
Receptionist Duties:
Greet and welcome visitors with a friendly and professional demeanor.
Answer, screen, and direct phone calls to appropriate personnel.
Manage incoming and outgoing mail and deliveries.
Provide basic information about the company and its services to clients, guests, and
callers.
Maintain a clean and organized reception area.
Administrative Coordinator Duties:
Provide administrative support to various departments, including receiving, inputting
invoices, setting up shipments and maintaining office files.
Manage office supplies and inventory, ensuring all resources are stocked and readily
available.
Coordinate and assist in event planning, including internal meetings, workshops, or
special events.
Assist the General Manager with setting up shipments, New Jobs, and ensuring all
Purchase Orders are completed in a timely manner.
Assist Office Manager with Shipping and Vender Invoicing, filing and organization.
Qualifications:
Proven competency as a receptionist, administrative assistant, or similar role.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent communication skills, both verbal and written.
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and basic office
equipment.
Ability to work independently and as part of a team.
Attention to detail and a proactive approach to problem-solving.
Experience in managing scheduling software or QuickBooks is a plus.
Education; High school graduate or equivalent (preferred)
Reliable transportation/commute or planning to relocate before starting work (Required)
