What are the responsibilities and job description for the Event Coordinator position at Autrey Mill Nature Preserve and Heritage Center?

The Autrey Mill Nature Preserve (AMNP) is seeking a Rental and Private Event Coordinator to oversee event planning and management for private rental clients. The Coordinator will be responsible for representing AMNP at networking events and collaborating with the Executive Director to develop sales and marketing strategies for private rentals and events.

This position offers a flexible work week that includes the ability to work from home for some hours. However, the Coordinator will need to be on-site to showcase the rental space to potential clients and act as the AMNP representative during the event. The responsibilities of the Private Event Coordinator include event planning, rental coordination, and other related activities.

The Typical workweek is Tuesday through Saturday.

Responsibilities

  • Answer all incoming inquiries within 48 hours.
  • Book and plan all special events with clients: weddings, graduation parties, birthday parties, bridal showers, corporate events, etc.
  • Book and plan all On Demand Chidren’s Birthday Parties
  • Track and maintain all pertinent event information in Honeybook
  • Collect and maintain all current event information on Google Calendar.
  • Maintain All Current rentals spreadsheet.
  • Work at least one event a weekend.
  • Create and maintain yearly event schedules and update the Board of Directors.
  • Email appointment reminders to clients
  • Email event reminders to clients each week
  • Schedule and email all Program Party Hosts each week
  • Track and Issue refunds
  • Assign Event managers to all special events.
  • Assign all Party Hosts to birthday parties.
  • Schedule police once a month.
  • Floor plans/diagrams
  • Schedule Cleaners
  • Create diagrams for each special event.
  • Let Police officers know about upcoming events.
  • Update Google Calendar with all payment reminders.
  • Email client's final invoices
  • Email Lizen all maintenance needs of historic buildings.
  • Ensure all rental buildings are clean and stocked with all necessary equipment.
  • Trach and maintain table and chair inventory
  • Email and maintain all event questionnaires AFTER each event
  • Update and maintain linen inventory and schedule dry cleaners.
  • Coordinate with other staff, volunteers, interns, etc, to set up and break down events. This may need to be done in advance.
  • Prepare physical folders for each event and ensure all information is updated to date.
  • Maintain and update the preferred vendor list.
  • Update, maintain, and print all brochures.
  • Schedule and direct all planning appointments
  • Maintain and update all birthday party policies.
  • Maintain and update all particular event policies.
  • Work with the Executive Director on all policy and pricing updates.
  • Other duties as assigned

Job Type: Part-time

Pay: $18.00 - $20.00 per hour

Expected hours: 18 – 20 per week
