Essential Job Duties and Responsibilities

Event Coordination & Client Relations:
- Cultivate and maintain strong relationships with clients, ensuring a personalized and memorable experience for every event.
- Serve as the primary point of contact for clients from initial inquiry through to event completion, providing consultation on event design, menu options, décor, and logistics.
- Conduct facility tours and guide prospective clients through room options, catering menus, and available services.
- Meet with clients to understand their vision, goals, and objectives for each event, customizing offerings to meet their needs.
- Finalize Banquet Event Orders (BEOs), ensuring all event details (room setup, menu, timelines, staffing, etc.) are accurately documented and communicated to internal teams.

Event Planning & Execution:
- Oversee the planning and execution of a variety of events, including corporate meetings, social gatherings, weddings, banquets, and private functions.
- Collaborate with the Banquet Captain and event staff to ensure smooth execution, adhering to all event details as outlined in the BEO.
- Create floor plans, room setups, and event timelines, and distribute them to relevant departments (Banquet, Housekeeping, Audio-Visual, Security, etc.) to ensure proper coordination.
- Regularly check in with clients and ensure their satisfaction throughout the event, addressing any concerns promptly.

Team Collaboration:
- Coordinate with the Executive Chef to develop seasonal and customized catering menus that reflect culinary trends, client preferences, and dietary needs.
- Meet weekly with the Food and Beverage department to review upcoming events, ensuring all details are aligned and executed smoothly.
- Work closely with the Sales and Marketing team to promote hotel event spaces, offering packages, and cultivating long-term client relationships.
- Assist with event staffing and ensure that all team members are well-trained and prepared for each event, ensuring top-tier service.

Budget & Financial Oversight:
- Assist in the development of the annual catering and events budget, ensuring financial targets are met.
- Review budgets regularly in coordination with the Finance department, identifying and addressing any discrepancies or areas for improvement.
- Provide pricing recommendations for catering packages, event services, and add-ons while maintaining profitability for the hotel.
- Monitor event revenue and expenses, ensuring that all events meet or exceed financial goals without compromising quality.

Quality Control & Continuous Improvement:
- Ensure that all event setups are correct and executed to the highest standards, paying attention to detail and exceeding client expectations.
- Oversee event staff training and development to ensure exceptional service levels are maintained at all times.
- Conduct post-event follow-ups with clients to obtain feedback and identify opportunities for improvement in future events.
- Stay current with industry trends and best practices, seeking ways to continuously improve the catering and events department.
- Bachelor’s Degree in Business Administration, Hospitality Management, or a related field.
- 5 years of experience in revenue management or related roles within the hospitality industry.
- Proficiency in revenue management principles, tools, and techniques.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Excel
- Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
- Strong work ethic and commitment.
