Position Summary
The Marketing and Admissions Director is responsible for directing, implementing, and overseeing the facility marketing policies, objectives, and initiatives. He/she will prepare and implement a marketing plan to include resident and family community relations. The Marketing and Admissions Director will review changes to the marketplace and adjust the marketing plan accordingly. He/she will maintain, record, and report the results of the facility’s marketing and public relations.

Essential Duties And Responsibilities
- Coordinates various aspects of the facility’s census development, admissions, and marketing functions:
- Initiates the referral process and manages the flow of referral review progression. Assists with maintaining a tracking record of all referrals. Responds to potential admission referrals and inquiries from hospital social workers and other referral sources in a timely manner. As needed, works with other disciplines to ensure acceptable reimbursement prior to accepting the admission;
- Works with Admissions Coordinator to admit residents to the facility in a timely and accurate manner and in accordance with established admissions policies and procedures;
- Complete admission paperwork for residents being admitted, ensuring accuracy of information and necessary signatures on all forms where this is required, preferably within 48 hours of admission;
iii) Accurately assign resident identification numbers at time of admission and enters resident admission data and demographics into CRM and PCC;
iv) Consistently notifying residents/patients and/or responsible party of co-payments and obtains these fees prior to admission or upon conversion of a short term resident;
- In cooperation with Community Liaisons, routinely keeps appropriate personnel informed of all new admissions and re-admissions into the facility via personal contacts and distribution of the Record of Inquiry and Intake Information form, adhering to HIPPA guidelines;
vii) Maintains communications with the Admissions Coordinator to monitor bed utilization, census, and data on referral sources.
- Coordinate acceptance of clinical conditions/acuity with the Director of Nursing and/or designee;
- Provides assistance with planning and conducting visits to and from referral sources to keep the lines of communication open with current referral sources and to establish new referral sources;
- Provides tours of the facility for potential admissions or general inquiries, whether by scheduled appointment or walk-in;
- Assists in the marketing, promotion, and enhancement of community/researched based activities through presentations, facility tours, facility events and press related interactions, as needed;
- Maintains professional contacts with peers and professional colleagues among other local health care facilities by internal and external marketing 20% of the time or more when needed;
- Coordinates and participates in community outreach projects both in-house and outside the facility.
- Take final responsibility and ensure rooms are ready for admission before a new resident arrives.
- Ensure that residents feel welcome; provide a welcome basket to all new admissions.
- Makes sure census information is sent daily and in a timely manner.
- Serves as a liaison with and advocate to residents/patients and families:
- Communicates with all residents, guests, volunteers, fellow staff, physicians and vendors in a courteous and respectful manner, displaying a positive attitude in all interactions;
- Develops and maintains good working rapport with important referral sources; e.g., hospital social workers, discharge planners, case managers, physicians, trust officers, attorneys, etc., as well as with interdepartmental staff, other departments within the facility, and outside community resources to ensure that the needs of the resident/patient are met and maintained;
- Assists residents and families in adopting to congregate living, as well as their separation from home and family. Provides support to assure the best possible understanding of stresses, losses and changes involved in the separation process;
- Initial 72-hour care conferences are made with residents or responsible party. Emails a weekly care conference schedule to all parties involved to inform of day and time for resident conference. Notifies necessary staff if a resident or responsible party has responded positive attendance for the conference;
- Provides support and timely assistance to foster resolution of any grievances received from staff, residents, and family members/responsible parties. Coordinates follow-up plan with interdisciplinary team to resolve grievance and prevent further distress to the resident and/or responsible party;
- Contributes to the planning and implementation of resident/family education and support events;
- Assists Admissions Coordinator in assisting residents in securing Power of Attorney, if it is deemed necessary by facility administration or requested by the resident;
- Assists the business office in communications/meetings with residents/responsible parties in regard to government application processes or communications.
- Establishes and/or continues a Marketing Committee (to meet monthly) and develops facility staff involvement in marketing and community relations activities.
- Provides in-service training for all Facility Personnel or Customer Service, Staff Marketing, and Community Relations.
- Prepares recurring and special reports for the Administrator and the Corporate Consultant for Marketing.
