Job Summary:

This role will manage staff across various locations (remote and Avenu offices), maintain customer relationships, and ensure the timely delivery of high-quality digital services. This role involves staff management, project coordination, customer interaction, and the delivery of accurate, on-time digital, indexing and transcription projects.
Duties and Responsibilities:
General Program Management:
High School or equivalent. College preferred. Extensive professional experience (5-7 years) with a preferred emphasis in land records indexing, digitization, or records management as well as team supervision.
Knowledge, Skills and Abilities:
This position involves managing remote, and office-based teams. Regular communication with clients, team members, and technical support is required. The ability to adapt to a dynamic work environment and maintain a customer-focused approach is critical.

Duties and Responsibilities:
General Program Management:
- Oversee and manage the Indexing work group, ensuring optimal performance and productivity. Assign and distribute various projects, including full-service indexing, monthly verification, historical indexing, and transcription. Administer the PPA platform, including user administration, project setup, and monitoring user activity.
- Monitor production across all projects, set production goals, and resolve production issues with individuals or teams. Prepare and deliver index/image files for historical indexing projects. Notify customers of completed deliveries and address any follow-up questions or concerns. Provide daily support to customers, assisting with indexing inquiries and liaising with other departments as needed.
- Request invoices for completed sales orders and delivered indexing projects. Monitor and report monthly verification totals for accurate customer invoicing and prepare production forecasts.
- Perform other duties as assigned.
- Coordinate full-service indexing processes with town, city, and county clerks to ensure specifications meet customer requirements.
- Update and maintain individual account specifications to adhere to customer preferences.
- Monitor daily logs and production to ensure 24-48 hour turnaround times.
- Set up RDP connections on remote servers and resolve technical issues in collaboration with platform support.
- Review and assess new sales orders to determine project scope, including volumes, date ranges, and book types.
- Ensure continuity in ongoing projects by reviewing previous deliveries to address any gaps in volumes or dates.
- Collaborate with new customers to establish and document preferred indexing methods, including specification templates and final approval. Set up indexing fields for new customers based on their system requirements. Coordinate with team leads to ensure accurate and timely delivery of files.

- Excellent organizational and problem-solving skills with the ability to resolve production challenges quickly.
- Exceptional customer service and communication skills, with experience collaborating with diverse stakeholders.
- Ability to manage multiple projects simultaneously and meet strict turnaround deadlines.
