Aviation & Missile Solutions (AMS) is seeking a dynamic Travel Coordinator/Contracts Assistant to join a diverse business operations team. Primarily located in Huntsville, AL, AMS provides responsive, cost-effective engineering and scientific solutions to the defense field.
The Travel Coordinator/Contracts Assistant will support AMS and its employees by providing travel coordination to include the booking and administration of all travel by employees. This position works closely with our Travel Agency to get travel arranged, adjusted, and sometimes cancelled, problem solving as issues arise. Additionally, this position will be supporting the Operations staff at AMS Headquarters, specifically the Contracts team that administers Government contracts and subcontracts. Areas of assistance include reviewing and documenting requirements, tracking deliverables and period of performance end dates, running project budget reports, and editing documents. This position will also handle all basic administration needs for the Contracts team.

Travel Coordinator
Duties may include the following:
- Knowing and understanding the AMS Travel Policy and being able to help employees adhere to the rules and regulations throughout the travel process.
- Setting up new employee traveler profiles, along with other administrative functions within the Travel Agency platform.
- Processing all Travel Authorization Requests (TARs) and working with employees with pre-travel arrangements.
- Working with the designated Travel Agency to book and secure travel plans.
- Working with the technical team, management, and analysts to secure travel approvals.
- Assist employees in the processing of Expense Reports upon return of travel. Includes reviewing and approving ERs for accuracy and adherence to the AMS Travel Policy and Federal Travel Regulations (FTR).
- Have a basic knowledge of Government Per Diem, FTR, and Joint Travel Regulations (JTR).
- Working with Operations staff to:
- Proofread, edit, analyze documents
- Track requirements, deliverables, and end dates
- Provide support for the preparation of contract documents as well as contract proposals (incoming and outgoing), awards and modifications.
- Work with Program Analysts to anticipate, plan, and implement actions necessary to ensure product quality, cost/budgets, schedules, technical and contractual performance internally as well as by subcontractors. Monitor and periodically report on cost, schedule and technical status of projects and recommend/implement corrective actions as required.
- Provide assistance with meeting setup including coordinating with primary point of contact, booking available conference rooms, and setting up light refreshments. Occasionally, ordering and coordinating food delivery.
- Assist the Contracts and Operations team in a variety of tasks and projects as assigned.
Required Experience:
- Candidate must possess a bachelors degree, preferably in business, from an accredited university.
- The candidate must be willing to support the Contracts team as needed in a variety of entry-level projects.
- Candidate must be a US-only Citizen.
- Experience working effectively in a team environment.
- Strong written and oral communication skills, excellent interpersonal skills.
- Proficient using Microsoft Office tools.
- Must be able to demonstrate impeccable attention to detail and the ability to juggle multiple tasks.
- Basic understanding of Government contracting
- Basic understanding of Costpoint
Must be able to obtain and maintain a DoD Secret Clearance.
