AVID is seeking a detail-oriented and conscientious individual to join our in-house bookkeeping and accounts management team as onsite assistant bookkeeper (non-remote). This role is part-time, with an expected 30h per week schedule.
Responsibilities
Onsite Office Administration
- Manage phone system.
- Data entry.
- Process incoming mail/small packages.
- Process outgoing mail/small packages with associated paperwork.
- Process outgoing freight paperwork with freight partners.
- Manage inventory in collaboration with production/engineering teams.
- Manage documents for employee onboarding and annual open enrollment for company medical plan.
- Maintain office equipment and supplies.
- Coordinate administrative tasks with management.
Bookkeeping
- Communicate with vendors & customers re: orders and payment.
- Prepare and maintain accurate financial records.
- Monitor financial transactions and reports with records.
- Maintain electronic and paper filing systems.
- Regularly scheduled reconciliation of general ledger accounts
- Track orders and payments for vendors/customers.
- Invoice customers for services and products.
- Track orders and accounts receivable for payment.
- Prepare purchase orders for inventory.
- Track incoming inventory / packing slips.
- Process incoming and outgoing checks.
- Define bookkeeping policies and procedures when necessary.
- Process employee expense reports and reimbursement.
- Reconcile taxes and accounts at the end of each month.
- Prepare balances for accounting.
- Prepare financial reports by collecting, analyzing and summarizing accounting information.
- Ensure compliance with federal, state and local legal requirements
Job Requirements
- This position is onsite; remote accommodation is not being considered for the role.
- Education: HS diploma or greater; relevant experience/training will be considered.
- Reliable personal transportation.
- Proficiency with MS Office products and MS Windows.
- Confidentiality.
- Attention to detail.
- Knowledge of bookkeeping software.
- Able to prepare, review, and understand financial statements.
- Ability to work independently and collaboratively.
- Comfortable handling large volumes of data.
- English language fluency (verbal and written) is required for this position.
- Strong written and interpersonal communication skills.
- Flexibility to adapt to a growing and changing business.
Physical Requirements
Position requires employee sit for long periods of time and work at a computer for extended periods, which may require repetitive motion. Ability to stand, bend, lift, and move around intermittently. They may also need to occasionally climb, balance, stoop, kneel, or crouch. Need to use their hands to grasp, move, or assemble small objects. They may also need to reach with their hands and arms, and hold their arm and hand in one position while moving their arm. Need to have close and distance vision, color vision, peripheral vision, and depth perception. They may also need to be able to see details of objects that are more than a few feet away. Need to be able to understand speech and speak clearly so others can understand them

- Knowledge and proficiency with QuickBooks a plus.
