Job Description:
The Medical Office Scheduler uses outstanding customer service skills to meet the intake, scheduling, and information service needs of patients, as well as other medical practice offices. This role requires the proficient use of standard office equipment such as computers, phones, printers and scanners. You will also need to be accustomed to using electronic fax, medical computer programs, Microsoft Office, and email to name a few. In this role you will perform numerous administrative duties as requested and required.
Skill Set:
The Medical Office Scheduler must have excellent multitasking skills, as the position will require you to work on more than one project at a time. This role will require you to be very detail-oriented and organized. You must portray excellent customer service skills, as you will be communicating through phone, email, and text with patients and other providers. The person in this role must display a high level of patience due to regularly encountering people who may have trouble communicating or understanding the procedures prescribed. You must be a good listener and good communicator. In this position you are expected to be a team-player, as teamwork is a must in our practice. It is imperative the person in this role be approachable and have a friendly demeanor. All Medical Office Personnel should be proficient with computers/computer programs and technology, including but not limited to Microsoft Office, electronic fax, email, etc.
Responsibilities:
The Medical Office Scheduler is responsible for patient information intake, scheduling, and information service needs of patients, Primary Care practices, Specialty Care Providers, and Hospitals. A Medical Office Scheduler is responsible for ensuring the accuracy of information that he/she inputs into company databases and patient records. He/she is responsible for customer service duties for patients, Primary Care practices, Specialty Care Providers, and Hospitals. An Intake Specialist must also be willing to perform various administrative duties as needed.
- Job Duties/Responsibilities:
- Assist with answering phones and transferring calls to the correct department.
- Welcome patients by greeting them in person or on the phone.
- Schedule in-office and Telemed visits with patients, verifying times with patients and preparing charts.
- Provides direct support and act as a resource to other medical practices and facilities
- Input and update patient’s information into computer program database.
- Verify patient information, record medical history or any recent changes, confirm purpose of visit.
- Secure patient information, keeping it confidential and maintaining patient confidence by completing and safeguarding medical records and adhering to HIPPA guidelines and privacy standards.
- Assists patients, Physician Practices, and staff with any questions as they occur.
- Printing and mailing patient paperwork for prescribed procedures.
- Assistance with ensuring completed paperwork & procedure data assignment.
- Assists with the completion of other administrative duties as required.
- Enhance practice reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
- Scheduling of patient appointment after insurance approval.
- Provide necessary follow up to ensure patient’s appointment confirmation.
- Provide necessary follow up to Physician Practices of patient scheduling and completion of procedure.
- Assists in educating and acts as a resource to Primary Care practices, Specialty Care Providers, and Hospitals.
- Assists patients, Physician Practices, and staff with any questions as they occur.
- Printing and mailing patient paperwork for prescribed procedures.
- Assistance with ensuring completed paperwork & procedure data assignment.
- Assists with the completion of other administrative duties as required.
Requirements:
- High School diploma or GED equivalent.
- Excellent computer, multi-tasking, and telephone skills.
- The ability to work well under pressure.
- TEAM PLAYER and willingness for diversified job duties.
- One-year experience in a medical office setting.
