Position Summary

Our growing team is looking for an Office Manager who will be responsible for any administrative duties and will assist Human Resources. The ideal individual should be people-oriented with high energy, strong sense of urgency, and highly developed ability to multitask.

Key Responsibilities

  • Facility Management for Valencia and liaison with landlord for maintenance
  • Coordinate all aspects of office management, including but not limited to office equipment, supplies, mail, office-space needs, etc.
  • Purchasing office supplies and equipment and maintaining proper stock levels
  • Assist with expense reporting for executives and other team members, as required
  • Managing Reception area, deliveries and visitors, Phone screening and support for the company
  • Retrieving, logging, and distributing mail, Creating UPS labels per request, going to post office as needed for certified mail
  • Calendar support as needed
  • Coordination of logistics for company meetings/events
  • Maintain physical and virtual office files and file management systems
  • Perform other general administrative duties and projects assigned
  • Update & maintain HR/ Personnel records
  • Responsible for the facilities day-to-day operations (such as distributing building access cards, desk, and office keys, etc.)
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
  • Organize office operations and procedures
  • Organize staff events (quarterly dinner, monthly luncheon/ breakfast, team building) as needed.
  • Facilitates, supervise and equipment management (e.g. office equipment, tables, chairs, copier, etc) and including housekeeping, repair and maintenance
  • Administration matters such as office phone line maintenance, office cleaning agreements, etc.

Requirements

  • Professional demeanor
  • Proven office management, administrative, or assistant experience
  • Knowledge of clerical practices and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to consistently handle sensitive and/or confidential material and information appropriately
  • Proficient in Microsoft Office, Outlook; Power Point, and Excel
  • Self-motivated & independent
  • Team player and strong individual contributor
