What You’ll Do
As the Executive Assistant to the Director of Operations, you’ll be a key player in keeping our operations organized, efficient, and ahead of the game. This role is more than just admin support—we need someone who can anticipate needs, troubleshoot issues, and keep everything moving forward without needing constant direction.

Your Key ResponsibilitiesBe the Backbone of Daily Operations
- Manage the Director of Operations’ schedule and priorities, ensuring meetings and tasks stay on track.
- Keep projects, deadlines, and follow-ups organized—nothing slips through the cracks on your watch.
- Field calls and emails, handling what you can and escalating only the big stuff.
- Act as the go-to person for administrative support across the company, keeping everything running smoothly.
Own Problem-Solving & Follow-Up
- See a challenge? Bring a solution. We need someone who doesn’t just flag problems but also suggests ways to fix them.
- Keep an eye on moving pieces, following up with vendors, tenants, and team members to ensure things actually get done.
- Help make small decisions that improve efficiency and support the company’s goals, always keeping leadership in the loop on the bigger stuff.
Coordinate Projects & Keep Things on Track
- Oversee maintenance and vendor coordination, ensuring projects are completed on time.
- Stay on top of compliance requirements—whether it’s building inspections, vendor insurance, or lease agreements, you’ll make sure everything is in check.
- Keep records organized and up to date—from lease agreements to internal reports, we need someone who knows where everything is (and how to find it fast).

What You’ll Need
- Prior experience as an Executive Assistant, Operations Coordinator, or similar role (property management experience is a big plus!).
- Strong organizational skills—keeping track of moving parts is second nature to you.
- Confidence in making small decisions that align with company goals.
- Comfort with Microsoft Office Suite, OneDrive, and property management software (bonus points if you know AppFolio!).
- A knack for prioritizing tasks, following up, and ensuring deadlines are met.
