This role provides high level administrative support to the Head of North America, and other various team members, as needed.
KEY DUTIES & RESPONSIBILITIES:
• Keeps and maintains the calendar activities on daily basis, ensuring meetings, appointments and conference/video calls are kept and well organized. This may include handling incoming phone calls on multiple lines, answering email in a timely manner and liaising with other administrative assistants across the organization and externally.
• Makes and manages travel arrangements including domestic as well as complex international travel. Inputs expense reports through Concur online systems. Arrangements and expense report support for others may be requested periodically.
• Prepares presentations, documentation, and spreadsheets. Drafts correspondence for review.
• Plans department events, meetings and conferences.
• Manages and submits departmental invoices for approval through Concur online systems.
• Exercises some independent judgment and discretion within parameters of defined company or departmental policies.
REQUIRED EDUCATION/TRAINING & EXPERIENCE:
• High school diploma (or equivalent), college degree preferred
• Typically requires a minimum of 5 to 7 years of prior administrative experience supporting senior level executives
• Prior experience in an insurance or financial services company preferred.
