The Solar Administrative Assistant will provide crucial support to the operations team through a variety of administrative functions. The ideal candidate will have experience with scheduling, invoicing, customer interaction, and time management. Familiarity with solar service administration or mechanical/electrical industries is preferred.
Responsibilities:
- Scheduling & Rescheduling: Oversee and manage project scheduling, including rescheduling as needed to ensure optimal efficiency
- Invoicing: Assist with generating and sending out invoices for services rendered, ensuring accuracy and timeliness
- Customer Interaction: Serve as a point of contact for customers, providing excellent communication and service
- Time Entry Management: Oversee and manage time entries for field teams and office staff
- Data Exchange: Facilitate the exchange of data between our systems and customer portals, ensuring smooth operations
- Organization: Maintain accurate records and files, ensuring everything is well-organized and easily accessible
- Email & Verbal Communication: Demonstrate proficient written and verbal communication skills when interacting with customers, vendors, and the team
Basic Experience (Required):
- Prior experience in scheduling, invoicing, and customer service in an administrative role
- Strong organization skills and attention to detail
- Excellent grammar and communication skills, both written and verbal
- Time management skills and ability to juggle multiple tasks efficiently
- Solar Scheduling & Estimation: Prior experience in solar scheduling or solar project estimation would be fantastic
- Industry Experience: Experience working in the solar service industry, or prior roles in mechanical/electrical service industries
- Industry Knowledge: Familiarity with OSHA 30, NFPA 70, and general safety standards would be a plus
- Software Proficiency: Experience with Foundation (or similar) and Build Ops software is a plus
- Education: An AAS degree combined with experience in the solar industry would be ideal. (Or on the job experience)
- Transitioning from Field to Office: If you have previously worked in the field and are looking to transition into office work, we would love to see your experience!
