Job Summary
We are looking for a friendly, detail-oriented Customer Service Representative to join our team. This position is the first point of contact for customers and plays a crucial role in ensuring a smooth and positive experience. The ideal candidate will be responsible for answering calls, scheduling appointments, processing payments, and assisting with parts logistics, all while maintaining a high level of customer service.
Key ResponsibilitiesCustomer Interaction
- Answer phone calls and greet walk-in customers professionally and courteously.
- Gather accurate and complete information from customers regarding vehicle concerns.
- Provide estimates, explain repair recommendations, and answer general service inquiries.
- Follow up with customers regarding repair status, approvals, and completed work.
Scheduling & Point of Sale
- Schedule service appointments in the shop’s Point of Sale (POS) system.
- Accurately enter customer and vehicle information into the system.
- Communicate effectively with technicians and service advisors to ensure accurate scheduling.
Parts & Inventory Management
- Receive and check in parts deliveries, ensuring accuracy and quality.
- Return incorrect or unused parts as needed, coordinating with vendors.
- Maintain proper documentation of received and returned parts.
Payment Processing & Administrative Tasks
- Process customer payments via cash, credit card, or other accepted methods.
- Provide detailed invoices and receipts to customers.
- Maintain an organized workspace and ensure records are up to date.
- Assist with light office duties, such as filing, data entry, and maintaining shop cleanliness.
Qualifications & Skills
- Previous customer service experience, preferably in an automotive or retail environment.
- Strong communication and problem-solving skills.
- Ability to multitask and work efficiently in a fast-paced setting.
- Basic knowledge of automotive services and repairs (preferred but not required).
- Proficiency in using computers, including POS systems and Microsoft Office.
- High level of attention to detail and accuracy.
- Dependable, punctual, and a team player.
