Primary Responsibilities:
The Office Administrator is responsible for the following duties, performed on a recurring
basis:
Daily Tasks:
Monitor and respond to business-related email communications, including those
of senior staff.
Review daily bank transactions for accuracy and report discrepancies.
Audit and post daily sales data to internal systems.
Update credit card fee information in relevant tracking tools.
Record in-kind tip payments and associated credit card fees.
Post daily labor entries for all departments.
Import daily POS data into accounting and tracking systems.
Post daily invoices into the general ledger system.
Review daily sales journal entries for completeness and accuracy.
Update labor and sales reports to reflect real-time activity.
File and organize invoices and receipts to ensure paper and digital records are
maintained.
Weekly Tasks:
Reconcile invoice totals for goods and services received.
Post all bank-related transactions in the accounting software.
Review labor and tip payouts for discrepancies or trends.
Assist with generating weekly reports as requested by management.
Monthly Tasks:
Assist with bank reconciliations by reviewing cleared transactions.
Track and allocate fixed costs (e.g., rent, utilities) across departments.
Update monthly financial performance dashboards.
Required Qualifications:
Minimum of 2 years; experience in office administration, preferably in the
hospitality or restaurant industry.
Familiarity with POS systems, financial software (e.g., QuickBooks), and
Excel/Google Sheets.
Excellent organizational and multitasking skills.
Strong written and verbal communication abilities.
High attention to detail and commitment to data accuracy.
Ability to maintain confidentiality and handle sensitive information professionally.
Preferred Qualifications:
Experience working in a multi-location restaurant group.
Knowledge of restaurant-specific accounting practices.
Bilingual abilities (English/Spanish) are a plus.
Work Environment:
