The Company
You will be working for an independent, forward thinking b2b publishing company. The company specialises in exhibitions conferences and awards.
The Role
You will be responsible for the management of logistics and member engagement for the
company’s events and working groups that are an extension of its main exhibitions.
You will be working within a team of event organisers that love what they do, are friendly and really work together as a tea, so the support you will have will be amazing!
The key tasks of the Event Assistant include :
Maintaining, and managing, our working group engagement and organisational efforts.
Building online registration forms
Creating badges for onsite collection (or emailing in advance)
Managing attendance lists (collecting relevant pre-screening information, checking, and validating), sharing this with the host for approval, and communicating registration confirmations to guests.
Creation and management of the working group ‘communities’ (ie. Event Apps), including branding, attendee lists, sponsors, exhibitors, uploading recorded content,
Updating website with important information, upcoming meetings, new members / partners,
Sending communications to members – logistics info (meeting time, meeting point etc.), how to register for events (promotional codes, admin support).
Pre-event logistics support – room set-up, AV requirements, catering, signage.
Collecting useful information from hosts – meeting room name, location, map, guest speakers, tour capacities.
Onsite logistics support (setting up the meeting rooms, placing signage, recording sessions, .)
Post-event – packaging presentations / recordings, gathering feedback, drafting, and sending membership emails.
The Candidate
The key attributes of the Events Assistant include :
Ideally you will have 1-2 years’ experience of working in event management, you could be someone who already helps to organise b2b events in a media company or an event organiser that does not have media experience
Excellent communications skills, both in writing and in person
Ability to manage a demanding schedule and coordinate multiple events in the planning stage and see them through to completion.
An interest in the event industry
Confident in managing suppliers and resources on the day of an event
Salary : $27,000
