We are seeking a highly organized and experienced Administrative Assistant to provide support to the President, Design, Construction, and Maintenance team. In this role, you will serve as the central hub for communication and documentation, collaborating internal and external stakeholders to ensure the seamless execution of luxury outdoor spaces. Your expertise will help uphold Back to Nature’s commitment to excellence, functionality, and sustainability in every project.

Position Overview
We are seeking a highly organized and experienced Administrative Assistant to provide support to the President, Design, Construction, and Maintenance team. In this role, you will serve as the central hub for communication and documentation, collaborating internal and external stakeholders to ensure the seamless execution of luxury outdoor spaces. Your expertise will help uphold Back to Nature’s commitment to excellence, functionality, and sustainability in every project.
Key Responsibilities
- Preparing, processing, and delivering permit applications.
- Set up new projects in the CRM and maintain organized electronic files.
- Participate in weekly Design & Construction meetings and track projects using the CRM.
- Prepare materials needed for team site kick-off meetings.
- Prepare comprehensive client packets upon project completion, ensuring all necessary documentation is included.
- Print, maintain and organize character images used for sales and marketing purposes.
- Provide backup support for mainline phone calls, ensuring timely and professional communication.
- Manage invoice payments, obtain approvals, code, and file digitally.
- Coordinate meetings with architects, clients, contractors, and internal teams.
- Manage project logistics, including arranging Dig Safe filings, ordering dumpsters, scheduling police assistance, or portable restrooms.
- Conduct material research, and source required materials, including hand-selecting items when necessary.
- Maintain records, organize filing, and archive system to facilitate expeditious retrieval of information.
- Work independently and across teams in a collaborative manner to complete projects.
- Replenish essential office supplies to avoid disruptions in project operations.
- Minimum of 3 years of experience in administration, ideally with high-end residential projects.
- Exceptional organizational skills and keen attention to detail.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft 365, including Word, Excel, Outlook, and Teams, with the ability to manage tasks and collaborate effectively.
- Proven ability to manage multiple projects and meet deadlines efficiently.
- Valid driver’s license and reliable transportation.
