We are seeking a highly organized and professional Receptionist to join our team. Responsibilities
- Greet and welcome guests as they arrive, ensuring a positive first impression.
- Answer phone calls promptly and direct them to the appropriate personnel.
- Manage appointment scheduling and maintain an organized calendar for staff.
- Perform administrative tasks such as filing, data entry, and document preparation.
- Support office management duties including inventory management and ordering supplies.
- Maintain confidentiality of sensitive information while handling inquiries.
- Provide assistance as a personal assistant when needed, supporting various team members with their tasks.
- Collaborate with other administrative staff to ensure smooth office operations.
Experience
- Must speak Spanish - please do not apply if you do not speak Spanish.
- Previous experience as a Receptionist or in a similar administrative role is required.
- Familiarity with front desk operations in legal, real estate or medical settings is preferred.
- Proficiency in office management software and tools; experience with QuickBooks is advantageous.
- Strong organizational skills with attention to detail; ability to manage multiple priorities effectively.
- Excellent verbal and written communication skills; proofreading experience is desirable.
- Ability to work independently and as part of a team in a dynamic environment.
- Notary Public is a plus, but not required.
