- Data entry/keyboard skills using standard computer office software;
- Work with our hiring team for summer law student OCI programs;
- Plan and attend events for our summer law student programs and interview process;
- Microsoft program knowledge - Outlook, Word, Excel, etc.;
- Manage day-to-day operations of Office Services Department;
- Responsible for resolving office facilities issues;
- Handle communications with office vendors and property management;
- Investigate and resolve vendor issues;
- Work with property management to resolve matters related to office maintenance and/or security;
- Maintain supply inventory; place weekly supply orders;
- Manage physical office moves, removal and/or purchase of office furniture;
- Identify and implement development and growth opportunities for office services assistants;
- Develop plans for efficiencies for office services team;
- Approve weekly timesheets and requests for time off;
- Manage and assist with setup of in-office and off-site events;
- Set standards and create written guides for office services team;
- Assist Office Administrator with other administrative functions as needed;
- Schedule vendors and submit invoices for processing;
- Handle COI requests, building security cards, parking matters;
- Ensure proper maintenance of pantry, kitchen and breakroom areas;
- Ability to use personal vehicle to run errands for office, when needed;
- Assist with logistical planning of office events/meetings, as needed;
- Ability to organize and prioritize numerous tasks and complete them under time constraints;
- Confidentiality.
- A 4-year college degree or comparable, relevant experience in a managerial role.
- Valid driver's license, clean driving record and proof of insurance
- Ability to communicate objectives and goals.
- Ability to set priorities, delegate, motivate and coach team members to become top performers.
- Exceptional client service and communication skills.
- Ability to collaborate with others and build rapport.
- Critical thinking skills with the ability to draw on experience and knowledge to resolve problems and research options.
- Project management skills with the ability to grasp scope and objectives, and recognize the roles and responsibilities of others.
- Advanced knowledge of office equipment, such as computers, fax machines and copiers.
