Ballard Community School District, a district with approximately 1700 students located minutes from Ames and the Des Moines metro, has a Payroll and Data Specialist position available. This is a 12-month position that performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff, students, and parents, and performs other related duties as assigned. The successful candidate will have strong organizational skills, ability to multi-task, and work under strict deadlines as well as effective interpersonal skills. Desired qualities include post-secondary degree, previous confidential office experience including payroll and knowledge of a variety of software programs. Reports to: Director of Business Services
Basic Function: To ensure the smooth and efficient operation of the district office, including data management, payroll, and support service operations for the district.
Essential Functions:
Data Specialist
- Maintain accurate student records, including processing registrations; updating household, student, and staff records and advancing the system from year to year,
- Manage student State Identification Numbers
- Collect, analyze, and report student data as needed for state and federal mandates, including annual Certified Enrollment, and annual CRDC Federal reporting.
- Oversee the enrollment processes for all students, ensuring accurate and timely registration while maintaining comprehensive records for Special Education and open-enrolled students and provide reports to Accounting Specialist for billing as needed
- Developing and delivering comprehensive training programs for staff to ensure effective use of the SIS.
- Providing ongoing support and troubleshooting for SIS-related issues, including assisting other staff with issues and/or questions
- Maintain effective communication between the Student Information System (SIS) and third-party software, ensuring seamless data integration and functionality
- Collaborating with academic and administrative teams to improve processes and workflows related to student data management and creating or assisting others with data extracts
- Complete Direct Certification Verification, free and reduced meal applications, and student fee waivers
- Manage student lunch accounts in SIS
- Assisting in the management of student fee accounts in SIS
Payroll Specialist
- Manage background check and fingerprinting requirements for employees, visitors, substitutes, and volunteers
- Maintain accurate time clock systems, data, and reconciliations
- Manage payroll and related records
- Conduct monthly reconciliations to ensure all staff benefits are accurately tracked and recorded.
- Ensuring timely payment of employee benefits, with a focus on compliance with Federal and State Tax regulations and IPERS regulations and deadlines..
- Providing support and information to staff regarding their benefits and payment processes as needed.
General
- Deposit and record income for all funds. Take deposits to the bank as needed.
- Greet all visitors and receive and route all incoming calls.
- Sort and distribute all incoming mail
- Adhere to applicable state and federal laws, rules and regulations, board policies, and administrative rules.
- Maintain high integrity and confidentiality in the school operation.
- Be knowledgeable of and abide by all school board policies, procedures, and other applicable laws.
- Cooperate with and work in a courteous manner with co-workers and other personnel.

Physical Requirements/Working Conditions:

Employee must occasionally lift or move up to 20 pounds. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, copiers, and 10-key machines.
