Position Summary
The function of the Program Management Associate is to provide day to day support to the Ballyhoo Media Agency Services group. The role provides project management oversight for haul outs projects, asset installations, experiential services, and service requests. The associate supports the Ballyhoo Agency Services team by delivering performance reports from the role’s supported areas to drive business improvements and efficiencies. Consults with internal clients in various departments and with external partners (yards, suppliers, installers, technical design consultancies) to independently gather, analyze and implement recommended courses of action. Tasks assigned are typically top priority, high profile, client driven and multi-departmental initiatives for the organization and this requires continuous communication and interaction. Support all aspects of project planning, tracking and status reporting.
Essential Duties & Responsibilities:
- Support a portfolio of agency services consisting of installations, experiential campaigns, events and tech services for the Ballyhoo Agency
- Provide project and campaign reports, including trend analysis and recommendations on preventative, corrective, and new courses of action if needed
- Supports the study of agency needs and current performance to determine optimal working procedures and systems and to identify areas of improvement and efficiency on assigned projects
- Support and track in developing ways to stream-line business practices and make a more efficient data driven organization such as deployment schedules for all business units
- Project coordination and support for development, tracking/monitoring and reporting of large size campaigns, events, haul out projects, sometimes simultaneously, from inception to completion, ensuring on-time, on-budget delivery with the vendors.
- Acting as agency services and client success' advisor through support in form of issue identification,, vessel deployment and communication of areas and subsystems.
- Adapting the work approach according to changing priorities
- Conducting standardized and frequent reporting on haul out projects and developing required processing methods for communicating and visualizing various project status to extended teams and executive management
- Identification and proactive search of data sources, shipyards, suppliers, and business partners. Consult with Marine Operations and Ballyhoo departments to ascertain and define needs and solutions
- Track total remaining work and project progress against milestone plans
- Establishing, driving and leading regular meetings between involved parties (attendees, agenda, and action logs) and drafting communications of project status based on pre-defined templates
- Lessons learned and best practice definition and sharing to other departments throughout the company
- Supports and at times performs vendor consultations/facilitations to monitor progress, define needs or problem areas, and obtain solutions
- Supports project teams in collection of quantitative/qualitative statistics, performs basic numerical analysis (Financial and statistical)
- KPI driver on vessel deployment, campaign flight status and issue resolution

Financial Responsibilities:
Responsible for working with the finance/accounting team to create and manage overall project budgets.
Qualifications:
- Bachelor degree or above with a concentration in Industrial Engineering, Economics, Business Administration or a closely related discipline.
- Experience: 1-2 years of relevant work experience in business development, analytics, operations or finance.
Knowledge and Skills:
- Strong communication skills and proven experience in collaborating with a small to medium size team of professionals.
- Solid written and verbal communications skills; particularly within a multicultural environment. Clear and precise communication with all levels of the organization are essential.
- Excellent interpersonal skills with the ability to coordinate efforts of and get results
- Excellent organization and presentation skills.
- Ability to multi-task and manage multiple projects or initiatives in a fast-paced environment.
- Solid understanding of expense activities
- Detail oriented with spreadsheet modeling skills.
- Software: Proficiency in Monday.com, Google suites, MS Word, Excel, PowerPoint, Projects and Visio required.
- Language requirements:
- Ability to read, analyze and interpret common scientific, engineering and technical journals, business periodicals, financial reports, legal documents, and government regulations.
- Ability to clearly and effectively present information to top management and public groups.
