Schedule:

This is a part-time temporary position working up to 30 hours per week, for 4 to 6 months.


Job Summary:

Under the direction of the Human Resources Director and the day-to-day partnership of the Human Resources Business Partner (HRBP) the HR Assistant provides support to the HR Team. The HR Assistant is responsible for maintaining the HRMS, as well as the digital employee records database. This includes uploading information creating reports and maintaining accuracy of information and compliance. This role is also responsible for maintaining employee records, processing employment changes, such as new hires promotions, merit increments and separations. The HR Assistant collaborates closely with the HR team to align HR initiatives and organizational goals.
Essential Functions

Database and Technology Management
  • Maintains electronic records for active and inactive employees.
  • Creates and runs various personnel, salary and other requested reports for Human Resources, Fiscal Services and others.
  • Tracks and updates records for continuing education credits within the online training tool.
  • Acts as back up security coordinator in trouble shooting access problems with technology systems.
  • Works with the Digital Equity and Virtual Services Department to make sure BARs and SARs are completed.
  • Provides monthly reports.
  • Uses Communico to book rooms for meetings.
HR Business Operations
  • Processes human resources transactions including, but not limited to, new hires, merit increments, performance evaluations, promotions and transfers.
  • Provides front-line support for department, receiving and interacting with internal and external customers; responds to inquiries from staff and public, preparing routine correspondence and performing a variety of other support duties.
  • Supports the onboarding and offboarding process.
  • Creates and monitors security badges for entry into library buildings and workrooms.
  • Coordinates post-offer background, physical and drug screening.
  • Communicates performance evaluation due dates for staff to supervisors and managers and processes approved merit increases for staff.
  • Provides support in DEI Office in processing of requests and distribution of diversity kits.
  • Plans and coordinates annual service award program.
  • Must be able to meet scheduling requirements by arriving to work on time and staying until the end of one's shift.
  • Must be able to work evenings and weekends and be flexible with one's work schedule to meet daily operational requirements.
  • Must have access to transportation, as needed to fulfill the responsibilities of the position, including meetings, events and activities at other branch locations or offsite.

Job Requirements:

  • Graduation from high school or high school equivalency; college degree is desirable.
  • Knowledge of human resources operations normally acquired through four (4) years of progressively increasing responsibility and work experience in a human resources environment.
  • Minimum of two (2) years customer service experience, preferably in an office environment.

We have a 14 step pay scale. Internal applicants starting pay varies based on their current step on the salary scale. We also offer, as appropriate, overtime pay, comp. time, and differential pay.
