Job Description:
Provide administrative support to identified programs and teams through coordination, research, preparing statistical reports, handling information requests, and processing authorizations for services. Performs routine administrative functions such as preparing correspondence, receiving visitors, answering phones, arranging conference calls, and scheduling meetings.
Essential Functions:
- Review, prepare and/or edit documents, such as mail, contracts, expense reports, memos, and invoices.
- Process reimbursements for documented and approved purchases and travel as assigned and authorized.
- Creating and maintaining spreadsheets, databases, and systems.
- Supporting internal and external meetings and events through coordination of logistics, preparing presentation materials, creating agendas, taking minutes and/or notes.
- Provide administrative support including making and receiving calls, providing coverage of the administrative office suite, and
- Support travel planning for external stakeholder meetings, conferences, interviews, events. Develops itineraries, processes reservations, manages bookings, and submits related financials for processing.
- Monitor / maintain administrative and professional supplies for continuous operations through financial and procurement services.
- Process authorization for services, quality assurance, and other related billing or documentation needs as assigned by supervisor.
- Manage and coordinate videoconferencing, fax, and tele-communications equipment and activities for access, quality, and operational functionality.
- Demonstrate adherence to company policies and expectations and behavioral competencies, both explicit and implicit.
- All tasks, projects, and/or duties as assigned and authorized, as determined by Human Resources and Direct Supervisor (or designated delegate) to be congruent with the role.
Qualifications
Education:
High School Diploma, GED, or equivalent, Required
Associate Degree in Human Services or related, Strongly Preferred
Experience:
1 year of Administrative Experience in an Office Setting, Required
1 year in Community Mental Health, Strongly Preferred
Additional:
Valid and unrestricted driver’s license, Required
Proficiency with Microsoft Office Suite Products, Required
Proficiency and familiarity with EHR/EMR systems, Preferred
Physical Demands:
Prolonged periods of sitting at a desk or computer workstation.
Prolonged periods of standing, bending, and reaching.
Must be able to lift weights up to 50 pounds at times.
