We are currently looking for a Deposit Operations Administrative Assistant to work Monday-Friday at 2605 Washington Blvd., Ogden, UT. This Deposit Operations Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office and working directly with the Bank’s Chief Deposit Officer. Provides supports through a variety of tasks related to organization and communication. Administrative assistant is responsible for confidential and time sensitive material, and should be familiar with a variety of the concepts, practices, and procedures related to the role. Administrative assistant must effectively communicate via phone and email, and ensure that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Having the ability to rely on previous experience and judgment to plan and accomplish tasks where a wide degree of creativity and latitude is expected.
Job Qualifications:
- Requires High School Diploma or equivalent, College Degree preferred.
- Minimum of 3 years administrative or office management experience required.
- Experience leading process improvement efforts resulting in efficiencies and productivity gains.
- Proven ability to independently organize work, balance multiple projects in a high volume work environment with strong attention to detail.
- Excellent verbal and written communication skills, problem-solving skills, and organizational skills.
- Ability to use independent judgment and discretion in various situations while maintaining a high degree of confidentiality.
- Advanced computer and Microsoft Office Suite skills as well as proficiency with various video conferencing platforms.
- Excellent time management skills and ability to multi-task and prioritize work.

Regular Duties and Responsibilities:
- Work is performed largely in a pleasant office environment. Prolonged sitting, standing, and mental and visual concentration for computer and equipment usage required.
- Must be able to bend, turn, twist, lift and move up to 30 pounds of office supplies, equipment.
- Position is not telework eligible; all job duties are performed onsite in the office.
- Ensure the efficient and smooth day-to-day operation of our office.
- Assist Chief Deposit Officer as needed.
- Answer phones, email, and messaging in a professional and supportive manner by documenting and communicating correspondence in a timely manner.
- Schedule appointments, coordinate meetings and team events, and maintain calendars.
- Draft and edit communications such as memos, emails, invoices, presentations, reports and other correspondence.
- Make independent decisions on a daily basis, addressing the best way to handle specific tasks with minimal supervision.
- Build and maintain professional and positive rapport with internal and external customers on behalf of the Chief Deposit Officer.
- Act as an ambassador for the department with other internal stakeholders when needed.
- Act as the point of contact for internal and external clients.
- Assist in the preparation of regularly scheduled reports.
- Prepare and submit invoices.
- Other duties as assigned.
