What We're Looking For

The Administrative Assistant is responsible for providing support in a wide range of administrative and HR functions to ensure smooth operations within the manufacturing plant. This role includes handling HR-related inquiries, assisting with payroll and timekeeping, supporting plant productivity reporting, organizing employee events, and managing communications. The ideal candidate should be highly organized, proactive, and comfortable working in a fast-paced environment.

This position reports to the Plant Manager

Duties and Responsibilities

  • HR Support
    • Assist employees with basic HR inquiries, including directing them on how to file FMLA claims with a third-party provider.
    • Support the HR team with basic payroll-related communications, including answering questions about paychecks, garnishments, and deductions.
  • Payroll & Timekeeping Assistance
    • Assist with timecard reporting, including reviewing timecards for accuracy and fixing missed punches or errors.
    • Work closely with the HR department to ensure timely and accurate payroll processing for all employees.
  • Plant Productivity Reporting
    • Assist the Plant Manager in compiling and updating productivity reports.
    • Help analyze and track key performance indicators (KPIs) for plant performance.
  • Employee Engagement & Events
    • Plan and organize plant-wide employee events, including birthday celebrations, grill outs, and other team-building activities.
    • Order food and refreshments for events and ensure they run smoothly.
    • Take photos of plant events and celebrations for internal communications or company newsletters.
  • New Hire Support
    • Take photos of new hires for plant badges and ensure badges are printed and ready for distribution.
    • Assist in onboarding tasks and coordinate with HR for new employee paperwork.
  • Communication & Reporting
    • Update and maintain plant communication boards with important notices, safety information, and employee recognition.
    • Support internal communications to ensure all employees are informed about important updates, events, and policies.
  • Other Administrative Tasks
    • Provide general administrative support to the Plant Manager and other department leaders.
    • Assist with any other tasks as needed to support the daily operations of the plant.

Qualifications

  • High school diploma or equivalent; some college or specialized training is a plus.
  • Proven experience in administrative or office support roles, ideally in a manufacturing or industrial setting.
  • Strong communication skills and the ability to interact effectively with all levels of employees.
  • Highly organized with a keen attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic HR and payroll systems.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and ability to work independently.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Some lifting may be required (e.g., setting up for events, lifting supplies).

Working Conditions

  • Fast-paced manufacturing environment.
  • Occasional overtime may be required for special events or reports.
