Operations Director

Full Time with salary and benefits | Reports to Executive director


Principal Function

Responsible for maintaining normal operations of Baptist Standard Publishing, including administrative and financial functions and record-keeping.


Required Qualifications

  • Adheres to the mission and core commitments of the Baptist Standard Publishing Company
  • Understands the goals, audience and message of the Baptist Standard Publishing Company
  • Navigates Baptist politics and differences respectfully
  • Has nonprofit accounting experience
  • Demonstrates proficiency with QuickBooks Online, Microsoft Word and Excel, Adobe Acrobat, and the use of both Windows and Mac platforms
  • Commits to travel to Baptist Standard board meetings and the BGCT annual meeting
  • Works well both independently and on a team
  • Exhibits excellent organizational and time management skills, attention to detail, flexibility, and ability to work without close supervision
  • Possesses the ability to relate and communicate cross-culturally
  • Pursues professional development opportunities as appropriate and stays current with legal, software and hardware developments and best practices related to job responsibilities
  • Participates actively in a church; Member of a BGCT-affiliated church preferred
  • Associate’s or higher degree; Bachelor’s or higher degree in accounting, administration, business, or finance preferred


Responsibilities

  1. Control general accounting functions involving accounts receivable, accounts payable and general-ledger processing; evaluate cash requirements for continuing operations. Provide accounts payable processing, including maintaining vendor accounts, posting vendor invoices and preparing checks.
  2. Reconcile cash and investment accounts.
  3. Prepare monthly financial statements; provide financial reports to the executive director/publisher/editor and board.
  4. Support the executive director/publisher/editor and other staff in preparing and monitoring an annual budget.
  5. Assist the executive director/publisher/editor with administrative and logistical functions, such as:
  • Completing and mailing correspondence
  • Maintaining files and complying with document retention policy
  • Planning and executing board meetings
  • Maintaining appropriate communication with the board of directors
  1. Maintain and update development records.
  2. Pick up mail from the post office during each week.
  3. Prepare and mail all receipts and letters for donors.
  4. Prepare and mail development correspondence.
  5. Prepare appropriate monthly finance and development reports.
  6. Coordinate acquisition and maintenance of equipment, supplies, service agreements, computer programming, consulting and services.
  7. Provide personnel management and support for employee benefit plans and payroll, including retiree benefit plans.
  8. Maintain relations with the company’s vendors.
  9. Prepare census bureau reports and state sales tax reports, and coordinate compliance with all tax reporting requirements.
  10. Work with auditor/CPA in preparing federal tax returns (Forms 941, 990, and 990-T) along with year-end audit engagement, as well as 1099s.
  11. Participate with all staff in marketing and sales plan development.
  12. Prepare the ad-revenue summary.
  13. Provide reports and documentation to ensure timely and accurate billing for ads.
  14. Assist with marketing and outreach endeavors that support fundraising development.
  15. Participate in marketing events, such as the BGCT annual meeting, securing booth space, furnishings and other necessary items.
  16. Perform other duties as assigned.
