Description of Duties:
- Manage an office, helping to ensure the company meets profitability goals and exceeds client expectations
- Monitor the business bank account via the Accounting Software weekly to ensure accuracy and identify cash flow issues. Notify the Owner if the account balance drops below the designated minimum
- Seek to improve operational integration with Customer Relationship Management (CRM) System and Accounting Software
- Assist with state compliance reporting
- Ensure all calendars are updated and monitored and all meeting requests are handled promptly
- Lead clients through an exceptional experience during interactions including all intake and outbound phone calls
- Following up with clients about scheduling, billing and outstanding proposals
- Develop and maintain sales information to meet milestones and completion dates
- Assemble and provide weekly job costing and other financial reports for the owner, sales and production teams
- Ensure all employees and subcontractors are communicating with clients in a professional and appropriate manner
- Support and maintain healthy, happy work environments and corporate culture
- Organize company social events such as summer BBQs and Christmas parties
- Develop Standard Operating Procedures (SOPs) related to office administration as directed by the Owner
- Manage, assemble and keep marketing materials stocked. (handouts, yard signs, brochures etc)
- Other duties as assigned
Skills & Requirements:
- History of working in an office environment
- Highschool(GED)
- Higher education is a plus
- Bookkeeping experience, including recording, organizing, and tracking financial transactions and activities
- Experience with software tools and current technology
