Who we need:
Reporting directly to the Account Executive (AE) or Regional Director (RD), the Operations Manager is responsible for the administration, coordination and bookkeeping of the property, working in conjunction with the Facilities Director, Engineering staff as well as the Barkan Corporate office.
What you’ll do:
- Under the direction of the AE/RD, the responsibilities include (but are not limited to):
- Meet regularly with AE and FD to share information and develop strategy
- Conduct weekly 1 on 1 with Facilities Director
- Working with FD/AE to develop Operating and Capital budgets and plans
- Lead efforts related to Capital Reserve Study
- Help to convey and implement Management company programs and initiatives
- Responsible for Accounts Receivable and Accounts Payable
- Develop variance narrative and submit monthly financial statements to Trustees
- Master insurance policy renewal, claim filing and administration
- Responsible for all legal matters
- Supplementing FD to ensure the engineering team is properly staffed and trained
- Coordinate various testing/drill efforts (FA testing, fire drills etc) in conjunction with FD
- Work in conjunction with FD on capital planning and execution
- Develop agenda and meeting packet for Board meetings
- Present Operations Report at Board meetings
- Set up Board room or Zoom Board meetings as planned
- Lead efforts on tax filing and annual CPA audit with outside CPA and Barkan
- Lead efforts on BERDO in conjunction with FD
- Maintain Common Area Maintenance (CAM) true up log on a monthly basis
- Monthly affiliate true up and quarterly billing as agreed upon
- Respond to administrative and financial questions and concerns from affiliates
- Monitor and enforce property condominium documents and bylaws
