Temporary Reunion AdministratorJob Summary:
Reporting to the Senior Associate Director of Alumnae Engagement, this position will assist full-time support staff and provide additional help to work on Reunion-related projects as needed. This position is a temporary position that will end on or around June 15, 2025.Job Description:
Primary responsibilities:
Data entry (web-based platform), creation of Excel sheets, and mail merge (from Excel into Word).
Responsible for management of multiple phone lines and email inboxes, responding to inquiries (email, phone, and in-person), and processing event registrations and payments.
Prepare Master Binders: create table of contents, map out and compile memos, menus, schedules, etc.; create documents as needed.
Serve as point person for Reunion check-in for alumnae and their guests during Reunion weekend.
During Reunion (Thursday 5/29–Saturday 5/31, including early mornings and late evenings, and for cleanup on Sunday, 6/1 ), assist at registration throughout the weekend, check in guests, distribute name tags, copy and distribute materials, staff events, break down events, etc.
Reconcile registration and attendance reports for all Reunion events and create overall attendance report.
Potentially needed to work Memorial Day weekend. To be determined based on business need.
Provide general office support for the Alumnae Relations team.
Other duties as assigned.
Additional responsibilities:
Editing and proofing documents, signage, nametags, etc. as requested.
Assist with filing and organizing confidential documents.
Skills, Qualifications & Requirements:
Ability to focus and work efficiently in fast-paced environment
Excellent interpersonal communication skills (written and verbal)
Proficiency in Excel and Word required
Detail-oriented
Comfortable with various types of technology (event registration platform, email platform, etc.)
Discretion and tact in handling confidential information
Team-oriented work style
Adaptable, flexible, positive attitude
Experience working in Special Events/Development/Alumni Relations preferred
Must meet the department’s core values of collaboration, aspiration, transparency, respect, accountability, and trust
Required Qualifications:
Bachelor’s degree or equivalent professional experience
Ability and willingness to work outside of standard business hours
Proficiency in Excel and Word
Preferred Qualifications:
Experience working in higher education Special Events/Development/Alumni Relations preferred
Customer service experience
Additional Information:
This job is performed in a hybrid setting, and will require a presence in the office 2 days per week, for team and full staff meetings, event preparation and events, and other times as directed by the supervisor.
Must be available to work in-person, on campus, the entire weekend of May 29 through June 1, 2025.

Salary Range: $30.00/hr - $30.00/hr
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
