Administrative Assistant – Special Education
JOB GOAL: To perform administrative assistant work of considerable variety and complexity in support of the Executive Director of Special Education.
QUALIFICATIONS:
- Bachelor’s Degree preferred.
- Five years prior experience as an administrative assistant.
- Ability to interact with staff, parents and the general public in a professional and courteous manner while maintaining confidentiality.
- Knowledge of state and federal guidelines for special education.
- Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheets.
- Such alternatives to the above as the Executive Director of Special Education may find appropriate and acceptable.
REPORTS TO: Co-Directors of Special Education
PERFORMANCE RESPONSIBILITIES:
- Prepare correspondence, reports and other materials of a general, confidential and technical nature.
- Arrange and confirm appointments and meetings for the Executive Director.
- Plan, organize and complete work responsibilities in a professional, courteous and accurate manner. Works with a minimum of supervision.
- Communicate effectively and confidently via phone and email.
- Maintain well organized, accurate records and files.
- Maintain confidentiality of all student and staff information.
- Process and track Individualized Education Plans (IEPs) for all special education students in the district. Maintain and update related software files.
- Facilitate translation of all special education documents for parents whose primary language is not English.
- Serve as back-up to the Administrative Associate-Finance & Grants for circuit breaker and Medicaid processing as needed.
- Implement emergency procedures if the need arises based on established office policy.
- Perform any duties or responsibilities in keeping with the scope of the position as assigned by the Executive Director of Special Education.
PHYSICAL REQUIREMENTS:
Typical office conditions: sitting, bending, stooping, filing, occasional lifting of up to 25 pounds of office supplies/files. Close vision at or correctable to normal range.
EVALUATION: Performance of this position will be evaluated yearly by the Executive Director of Special Education in accordance with the School Committee policy for evaluation of classified staff.
TERMS OF EMPLOYMENT: This is a 40 hour per week, 12 month position. Non-affiliated group.
