We are a leading family and matrimonial law firm seeking a Receptionist to manage our front desk at our Palm Beach, Florida office on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our firm.
Our Receptionist’s duties include offering administrative support across the organization. You will answer incoming calls, contact online inquiries, and confirm attorney appointments. You will coordinate front-desk activities, including completing client intake information, redirecting phone calls, filing, scanning, and other administrative tasks.
The receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. Additionally, the ideal candidate will have the ambition to assist lawyers and paralegals in their work.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Answer, screen and forward incoming phone calls
- Schedule appointments for the attorneys and confirm appointments with clients to keep calendars up to date
- Ensure reception area is tidy and presentable
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Order office supplies and keep inventory of stock
- Perform other clerical receptionist duties such as filing, scanning, photocopying, transcribing and faxing
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite and Google apps
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude, comfortable onboarding new clients

Pay: $35,000.00 - $55,000.00 per year
