Job Description
The Administrative Assistant III works under general supervision of the Director of Physical Rehabilitation in a team of two to three other administrative staff. The incumbent is responsible for preparing the office and ensuring that there is a smooth and orderly flow of patients and patient information, both in and out, including: scheduling, filing, maintaining therapist schedules, preparing patients and space/equipment for treatment, maintaining supplies, and ensuring an orderly and clean working environment. This position must handle all office appointments and maintain an effective flow of communication, which includes: telephone, intra- and inter-department, and public communication.
Skills must include the ability to handle a multi-phone system tactfully. The incumbent must demonstrate exceptional customer service skills, excellent organizational skills, follow through independently on tasks and have the ability to anticipate and meet departmental needs. This requires a pro-active, high energy, detail-oriented, team player with the ability to multitask. The person filling this position must be able to prioritize and complete projects while tolerating frequent interruptions. These responsibilities are usually shared between two to three
administrative staff, but at times one person will be responsible for all duties. The people sharing these duties must be able to work together and demonstrate effective communication.
Minimum Qualifications
- Education: High School Diploma or GED equivalent.
- Experience: Two (2) years of experience in data entry and/or analysis.
Preferred Experience: Office administration, receptionist, insurance verification work in a rehabilitation or medical setting.
Internal Hires: Pay rate will be determined based on applicable personnel rule or union contract terms.
