The Procurement Specialist reports to the Procurement Manager and will play a key role in managing the purchasing process across multiple locations. This includes receiving materials, preparing vouchers, sales orders, compiling data, and drafting purchase orders for the procurement of materials and services required for various engineering projects.
The ideal candidate will possess strong communication skills, an understanding of procurement practices, and the ability to work collaboratively across multiple departments to ensure seamless procurement operations.
Key Responsibilities:
- Material & Service Procurement:
- Assist in the procurement of materials, tools, and services for ongoing and upcoming engineering projects across multiple locations.
- Ensure timely and cost-effective purchase orders for materials and services are created based on project requirements.
- Shipping, Receiving & Inventory Management:
- Coordinate the receiving process for materials and services, ensuring all items are accurately recorded and stored appropriately.
- Work with warehouse teams to maintain accurate inventory levels and avoid project delays due to supply shortages
- Shipping products related to Baton Rouge sales orders.
- Voucher Preparation:
- Prepare and verify vouchers for payments related to purchases, ensuring compliance with company policies and budgetary constraints.
- Review and confirm that all purchase orders, invoices, and receipts are accurate and processed in a timely manner.
- Data Compilation & Record Keeping:
- Compile data and maintain detailed records for all procurement transactions, ensuring all relevant documentation is complete and up-to-date.
- Track and report procurement metrics such as order status, delivery timelines, and supplier performance.
- Collaboration & Coordination:
- Work closely with project managers, engineers, and suppliers to ensure that the necessary materials and services are procured and delivered on time.
- Resolve any issues or discrepancies related to procurement activities, including deliveries, quality concerns, or pricing.
- Supplier Relationship Management:
- Maintain positive relationships with suppliers and vendors, ensuring clear communication regarding project needs and timelines.
- Evaluate and negotiate supplier contracts, ensuring the best value and service for the company.
- Receive and review sales orders to ensure accuracy in product specifications, quantities, and delivery timelines.
Qualifications:
- Education:
- Bachelor’s degree in Business Administration, Supply Chain Management, Engineering, or a related field preferred.
- Experience:
- Minimum of 1 years of experience in procurement, purchasing, or a related field, preferably within an engineering setting preferred
- Familiarity with Deltek Costpoint is a plus.
- Skills:
- Strong attention to detail with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and procurement software.
- Strong organizational skills and ability to work under pressure and meet deadlines.
- Knowledge of material specifications and quality standards in the engineering or construction industry is a plus.
