Job Summary:
The Operations Coordinator supports the daily operational and administrative functions of Basecamp Recovery Center to ensure smooth, efficient workflows and a welcoming environment for both staff and patients. This role collaborates across departments to help maintain operational integrity, supports front office functions, and assists in improving the overall patient experience.
Core Responsibilities:
Support daily operations across clinical, medical, housing, and administrative departments.
Provide administrative and scheduling support to front office staff.
Maintain patient-facing interactions that are professional, warm, and respectful.
Assist with data entry, supply ordering, and basic facility oversight.
Ensure compliance with confidentiality and HIPAA standards.
Collaborate with the Operations Manager on departmental projects and initiatives.
Facilitate communication across internal teams for operational efficiency.
Monitor and restock inventory and office supplies.
Support the training and onboarding of new administrative staff.
Coordinate minor maintenance and facility needs with external vendors.
Job Duties:
Greet and assist patients and visitors, providing clear information and support.
Maintain accurate and secure patient and operational records.
Assist in preparing reports or documents related to operations or compliance.
Coordinate meeting schedules, maintain office calendars, and support events or trainings.
Support billing and insurance document organization as directed.
Help uphold safety, cleanliness, and orderliness throughout the facility.
Respond to staff requests for resources or support promptly and effectively.
Monitor the front desk area and provide coverage as needed.
Participate in team meetings and offer input to improve internal systems and workflows.
Other duties as assigned by the Operations Manager.
Education and Experience:
Associate’s degree required; Bachelor’s degree preferred (Business Administration, Healthcare Management, or related field).
1–3 years of experience in operations, administrative support, or office coordination (healthcare or recovery setting preferred).
Strong organizational and multitasking abilities.
Proficient in Microsoft Office Suite; experience with electronic health record (EHR) systems is a plus.
Excellent interpersonal skills and a compassionate approach to serving individuals in recovery.
Demonstrated reliability, professionalism, and respect for confidentiality.
