The ideal candidate will be the first point of contact for our company, providing excellent customer service and administrative support to both our internal teams and external clients. Key Responsibilities:
Front Desk Management:
- Greet and assist visitors in a professional manner.
- Manage incoming calls, emails, and other communications, ensuring they are directed to the appropriate department or individual.
- Send out bid invitations to subcontractors and suppliers.
- Track and collect bids, ensuring deadlines are met.
- Enter and manage Accounts Payable (AP) vendor invoices accurately.
- Process and manage mileage reports for bi-weekly reimbursement.
- Maintain organized file systems, both digital and physical.
- Assist project managers with scheduling, documentation, and other project-related tasks.
- Provide support to the office manager as needed, including preparing reports, handling mail, and managing office supplies.
- Proven experience as a receptionist, administrative assistant, or in a similar role.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Basic understanding of construction terminology and processes is a plus.
- High school diploma; further education or certification in office administration is advantageous.
