Position Purpose

Assists in the coordination of Thermatech projects and provides specialized administrative support to the project management, quality, and engineering staff. This support includes the coordination, creation, review, approval, issuance, and retention of supplier, project, and quality control documentation, with a strong emphasis on documentation accuracy and compliance.

Position Responsibilities

Performs the following functions according to established Company standards:

Project Management Support:

• Coordinate and complete all required project-related paperwork, ensuring accuracy and compliance with company standards.   
• Create and update project schedules as needed.   
• Order materials and equipment as requested by the project manager, verifying the accuracy of ship-to information, submittal details, and other relevant data before submission to the purchasing agent.   
• Coordinate, maintain, and distribute equipment delivery schedules regularly.   
• Prepare and submit documents for customer transmittal and/or approval as required.   
• Coordinate with Engineering and Project Managers to prepare and submit documents for CRN, ABS, specific ASME codes (e.g., ASME Section VIII, Division 1), and other third-party requirements.   
• Coordinate and manage project stage-gate meetings, including Sales Handoffs, Fabrication Handoffs, and Closeouts.   
• Collaborate with Project Managers to monitor all financial reports for inconsistencies and facilitate necessary adjustments.  Coordinate with Accounting to ensure timely billings.
• Perform final review of post-fabrication documentation to ensure completeness and accuracy.   
• Assist Project Managers with Post-Project Financial Performance Reviews.

Quality Control Support:

• Coordinate with quality inspectors regarding document generation, retrieval, issuance, control and archiving.   
• Maintain the code library with the required current versions and editions.   
• Coordinate with quality inspectors in the preparation of Manufacturer Data Reports (U1-As) and manage filing and retention.   
• Prepare and submit other quality-related documents as needed, ensuring compliance with relevant standards.   
• Maintain the National Board Log and ASME Logs, and coordinate the submission of Data Reports to the National Board.   
• Track and maintain calibration records and associated costs for Manufacturing, and assist other Business Segments within Bassett as needed.   
• Coordinate with Procurement on the purchase of small tooling.   
• Coordinate with quality inspectors to track and maintain welder continuity records and other quality system maintenance activities.   
• Coordinate, perform, and/or assist receiving with documentation reviews related to ASME Material Control, including Material Test Report reviews and approvals.   
• Prepare work packages according to the Quality Manual, create and improve forms, obtain required signatures, and route documents to the shop floor.
• Support and maintain a safe and Lean working environment.
• Other duties as assigned.

Summary of Skills, Knowledge and Abilities

• Prior experience in project management or project administration is desirable.
• General Knowledge of the Fabrication and Welding Processes employed within Manufacturing 
• Excellent organizational and document management skills.   
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).   
• Strong attention to detail and accuracy.   
• Ability to communicate effectively with various teams, including project management, quality control, and engineering.   
• Ability to prioritize tasks and manage multiple projects simultaneously.
