Job Overview:
The Office Support Specialist focuses on administrative processing and oversight for multiple departments within Bastian Solutions. Duties include time reporting, production schedule facilitation and light purchasing as well as overall administrative support. A primary attribute to this position is having a servant’s heart and supporting the Bastian Solutions team.
Job Duties:
- Follow our workflows (QMS) as applicable and corporate level policies - maintain ISO certified documented systems
- Work with management to schedule and prioritize projects on a macro level; ability to prioritize individual tasks on your own
- Prepare and publish departmental communication for divisional and company wide distribution
- Light purchasing duties for procurement support
- Maintaining daily manufacturing schedule integrity in rolling off completed tasks for accurate capacity and planning
- Track returns to vendors to ensure proper and timely credits are issued.
- Facilitate uniform service, ensuring new employees are sized, billing accuracy, and updating for staffing changes
- Maintain lobby area and meeting rooms, preparation for visits, ongoing readiness
- Assist in travel arrangements for non-travel-based employees. Support employee travel and expense report training in Concur
- Credit Card expense report coding / reconciliation / entry into D365
- Assist in the organization of company events
- Coordinate customer visits and visits by professional / community / school organizations.
- Act as point person for service contracts, including planned maintenance, cleaning, coffee service, copiers, lawn care and snow removal
- Assist in preservation of company resources: conference rooms, printers, computers, etc.

Preferred Skills/Qualifications:
- Associate degree (preferred) or 3 years of applicable experience
- Superior organization skills, ability to prioritize and route appropriate workflows
- Demonstrate positive attitude, respect and teamwork
- Motivated self-starter with a high level of commitment and ownership
- Attention to detail and follow through
- Demonstrated practical experience with ERP software and general Microsoft Office products
- Strong work ethic and commitment to the business

- Ability to work well with a diverse group of peers

Salary : $40,000 - $55,000
