What are the responsibilities and job description for the Unit Director-CAMP e position at BAY MILLS INDIAN COMMUNITY?
POSITION STATUS:
This position is grant-funded, and it is possible this position may not extend past the grant funding cycle. Maintaining this position throughout the grant cycle will be contingent upon meeting administrative and program requirements.
POSITION SUMMARY:
Directs, manages, and participates in the overall daily operations of the designated Clubhouse with the primary concern for: programs and service delivery, supervision and training of staff, facilities management, community relations, and membership administration. Under the Supervision of Club Management, the position assists in maintaining the operational, financial, and administration standards of the Boys & Girls Club of Bay Mills.
ESSENTIAL FUNCTIONS:
Club Operations
- Oversees the daily operations of the assigned Club site; includes supervising staff and volunteers, creating and implementing program schedules; maintaining relationships with members and families.
- Establish Clubhouse program objectives consistent with organizational goals and mission. Plan, develop, implement, and evaluate Unit programs, services, and activities to ensure they meet the stated objectives and member needs and interests. Compile regular reports reflecting all activities, attendance, and participation.
- Ensure the evaluation of Club programs on a continual basis and ensures programs/activities respond to member needs and address their gender and cultural diversity.
- Ensure that members are encouraged to participate in a variety of program areas/activities and receive instruction and constructive feedback to develop skills in program area(s).
- Exercise authority to assure conduct, safety, and development of members while able to discipline members in a fair manner and uphold club rules. Utilize guidance and discipline plans; revising plans, policies, and procedures as needed.
- Ensure program areas are safe, well-ventilated and well lit; and that club equipment is maintained and in good working condition.
- Oversee special unit programs/activities/events as necessary.
Leadership
- Assist in the recruitment, management, and development of staff and volunteers. Assist in development and training opportunities for staff and volunteers. Conduct regular staff meetings. Oversee program staff at assigned unit/site.
- Follows all internal and external policies regarding Club operations as well as for Bay Mills Indian Community, and aids program staff in following them as well.
- Develop partnerships with parents, community leaders, and organizations.
Administrative
- Coordinate the administrative and program tasks of assigned grants including recruitment, public relations, record keeping, program reporting, attend required trainings, and all other financial and administrative duties assigned.
- Assist Management with program budgeting and tracking of funds. Complete check requests, track payments, review and analyze submitted invoices and grant related expenses; purchase or approve purchase of supplies and equipment.
- Assist in maintaining data collection for the Boys & Girls Clubs of America’s Annual Report. This includes proper record keeping and/or grant reporting including activities and events conducted, breakdowns of daily participation figures, notable achievements, and any problems/issues.
- Ensure compliance with organizational policies.
- Support the work of the Advisory Council, assisting with committees and action items as assigned; participate in meetings including strategic planning sessions.
- Oversee member tracking using web-based member tracking system, including new members and renewal of current members.
Other
- Develop and maintain public relations to increase the visibility of programs, services, and activities within the Club and community.
- May be required to drive Club van periodically.
- Attend relevant local, regional, and national conferences, trainings, and events.
- Assume other duties as assigned.

POSITION REQUIREMENTS:
- Minimum of an associate degree in a youth-serving or related field required, bachelor’s degree preferred; a combination of education and directly relatable experience may be substituted on an individual basis.
- A minimum of two years’ experience required in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of youth with at least one in a significant supervisory capacity.
- Applicant may be required to complete working interview and/or submit writing sample.
- Strong communication skills, both verbal and written.
- Proficient word processing skills and various computer skills including, but not limited to, knowledge of Microsoft Office applications, social media, spreadsheets, email communication, search engines, presentation software, and other online software systems.
- Knowledge of the mission, priority outcomes, programs, and procedures of Boys & Girls Clubs and the principles and practices of non-profit organizations.
- Group leadership skills required, including thorough understanding of group dynamics and the ability to work with many different personality types.
- Experience supervising staff in a management position; ability to recruit, train, supervise, and motivate staff.
- Ability to establish and maintain effective working relationships with Club members and staff, subordinates, Bay Mills Tribal Leadership, caregivers, community groups, and other related agencies.
- Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
- Self-disciplined, takes initiative, remains focused in the face of pressure and does not stagnate or become intimidated in the face of multiple tasks and time limitations.
