Job Title: Outpatient Clinic Administrative Coordinator
Reporting To: Outpatient Manager
FLSA Status: Non-Exempt (Hourly)
Position Overview
Join our dedicated outpatient team as an Administrative Coordinator, where you will provide essential administrative and coordination support to our patients and physicians in the outpatient and interventional psychiatry departments. Your role will be vital in ensuring smooth operations and an exceptional experience for both patients and the healthcare team.
Key Responsibilities
- Communication & Coordination: Answer and direct incoming calls to appropriate team members and departments, ensuring effective communication with patients and healthcare providers.
- Patient Services: Respond to new outpatient service inquiries, screen and register patients, and schedule initial consultations for new patients.
- Provider Support: Maintain and manage provider schedules, ensuring timely patient appointments. Process prescription refills for provider review.
- Billing & Financial: Collect and process patient balances, including copays, deductibles, and co-insurance. Prepare necessary financial paperwork for treatments.
- Patient Data Management: Regularly update and maintain patient demographics and insurance information in the system.
- Insurance & Authorizations: Verify mental health benefits and secure insurance authorizations as necessary, including for treatments and prescriptions.
- Documentation & Follow-up: Review voicemails and emails from patients, providers, and insurance representatives. Ensure all required paperwork is completed and entered into the EMR system.
- Team Support: Assist the team with administrative tasks, including preparing monthly reports and providing support for Supervisor/Manager as needed.
- Training & Development: Contribute to team training, share knowledge, and help streamline processes for continuous improvement.
- Miscellaneous: Support the Manager with mid-month and end-of-month reports. Perform other duties as assigned to ensure the efficient functioning of the department.
Required Qualifications
- Experience: Minimum of 3 years of clinic or hospital experience.
- Multitasking Ability: Proven ability to juggle multiple tasks, adjust to changing schedules, and meet deadlines efficiently.
- Team Player: Capable of working independently or as part of a team.
- Self-Motivation & Organization: Detail-oriented and highly organized with strong time-management skills.
- Patient Care: Demonstrates compassion, professionalism, and confidentiality when interacting with patients.
- Technical Proficiency: Experience with telecommunication hardware/software and proficient in Outlook, Microsoft Office, and web browsers.
- Communication Skills: Strong written and verbal English communication skills. Excellent interpersonal and organizational abilities.
- Typing & Accuracy: High level of typing accuracy and attention to detail.
- Confidentiality: Able to handle confidential information and maintain professional boundaries.
- Professionalism: Must maintain a professional attitude and attire at all times.
Preferred Qualifications
- Insurance Verification: 2 years of experience in insurance verification.
- Medical Office Experience: 3 years working in a medical office.
- Computer Skills: Familiarity with medical office software and systems.
Position Details
- Job Type: Full-Time
- Pay: $27.00 - $29.00 per hour
- Expected Hours: 40 hours per week, Monday to Friday
- Work Location: Berkeley In-person
