General Summary:
Under general direction, provides a variety of complex, confidential and diversified administrative duties. Compiles reports and prepares agendas and background materials. The Administrative Assistant III performs more complex assignments such as designing spreadsheets and maintaining databases. May coordinate special projects and perform complex tasks requiring the consideration of multiple variables to determine proper course of action. This position may lead and provide functional guidance to lower level support employees. The Administrative Assistant III is an integral part of the administrative team and provides support to other service line leaders and executives. (Directly reports to a Service Line Administrative Director)
Responsibilities:
1. Provide confidential administrative support by performing a variety of duties such as preparing documents, reports and presentations. Perform general secretarial duties for Administrative Director. May provide work direction to lower level administrative staff.
2. Collects, compiles and analyzes moderately complex data and information; such as performance improvement initiatives. Create spreadsheets, reports, graphs and maintain database files. Assist in collection, tracking and implementation of all service line metrics; format data and distribute as requested, meeting all timelines.
3. Provide research and administrative support for special projects. Coordinates special projects by developing project plans and schedules. Coordinates the compilation and distribution of marketing materials.
4. Act as liaison between service line management and physician office staff/office managers, and with Medical Staff Services and Payer Management. Assist in monitoring physician contract payments and CME’s, assuring all deadlines are met.
5. Receives and responds to routine correspondence following established procedures not requiring management review.
6. Coordinates schedules and appointments for Administrative Director. Maintains calendar of appointments, schedule meetings, arrange rooms and take minutes as requested. Make and confirm travel arrangements, and prepare travel requests and expense reports.
7. All other duties as assigned within the scope and range of job responsibilities

- Experience: Required: 4 years of administrative support experience; degree can be substituted for 2 years of experience Preferred: 4 years as an Administrative Assistant in a healthcare setting
