What We Are Looking For
Baylor University is seeking a Graduate Program Coordinator within the Electrical and Computer Engineering Department at the School of Engineering and Computer Science.
A Bachelor’s Degree and at least one year of relevant work experience is required. A Master’s Degree and three years of relevant work experience is preferred. A combination of education and experience will be considered in lieu of one another.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Serve as point of contact for grad students, faculty, and visitors; greet guests daily; liaise between professors, students, and visitors
- Maintain graduate student records for current and former students
- Initiate and process class add/drop forms and petitions
- Assist students with course scheduling and enrollment
- Process graduate forms for terminations, stipend changes, and other student status updates
- Administer and proctor written and oral preliminary exams; file results and manage retakes
- Track students’ progress through degree audits to determine doctoral candidacy eligibility
- Complete and maintain SACS reports for each student
- Compile and manage student/faculty evaluations for SACS reporting
- Respond to general correspondence from prospective students
- Approve and review graduate student travel authorizations
- Manage class schedule updates through the ClassAct program
- Monitor degree audits to ensure students are on track for graduation
- Issue enrollment permits and waivers
- Assist new students with HR paperwork and stipend setup through the Ignite system
- Schedule meetings, presentations, and exams using the Astra room scheduling system
- Coordinate new student orientation sessions, including guest speakers and presentations
- Assist graduating students with Thesis/Dissertation presentation setup and report results to the grad school
- Review and correct the weekly Labor Distribution report for stipends and funding.
- Maintain and annually report student publication records
- Manage the departmental stipend budget
- Track students on summer internships; terminate and reinstate stipends as necessary.
- Use the Slate system to monitor incoming graduate enrollment
- Compose eBEARS announcements for thesis/dissertation presentations and guest speakers
- Ensure students are aware of travel policies
- Support course transfer processes between institutions
- Perform all other duties as assigned to support the mission of Baylor University
- Comply with University policies
- Maintain regular and punctual attendance
