Job Summary
The Front Office Coordinator plays a crucial role in ensuring the smooth operation of the dental office environment. This position involves managing front desk activities, providing exceptional patient service, and supporting administrative tasks to enhance overall efficiency. The ideal candidate will be organized, detail-oriented, and possess strong communication skills to interact effectively with patients and team members.
Primary Duties:
- Greet and assist patients in a friendly and professional manner.
- Manage incoming calls, texts, and when appropriate directing them to the appropriate team member.
- Check patients in upon their arrival, obtain new or updated necessary information from patients to be entered into system. Communicate with responsible team member to alert them of patient arrival to minimize wait time.
- Ensuring a full office schedule that includes filling openings, outreach to overdue patients, appointment confirmation, and coordinating with Office Manager to contact patients on specific lists to outreach.
- Communicate with patients and back office staff to coordinate quality patient care, organized appointments, and follow up appointments.
- Checking patients out, which includes confirming with the assistant with all the services provided and note down the difference, if any.
- Obtain patient payments and schedule next appointments as appropriate.
- Assist with lab case management as needed.
- Ensure preparation for next day is complete at the end of the day.
- Follow up on insurance claims and collections as needed.
- Maintain an organized front office area, ensuring it is welcoming and presentable.
- Ensure compliance with office policies and procedures while maintaining confidentiality of sensitive information.
Skills
- Experience as a dental receptionist or in a similar role is preferred.
- Experience as a dental assistant is preferred.
- Strong computer literacy with proficiency in data entry and various software applications, including QuickBooks.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong interpersonal skills to foster positive relationships with patients and colleagues.
- Attention to detail to ensure accuracy in all tasks performed.
- Ability to work independently as well as collaboratively within a team setting.
