We are seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our team. Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy.
- Manage incoming phone calls, ensuring proper phone etiquette while directing calls to the appropriate personnel.
- Organize paperwork, binders, and files for both past and current projects.
- Assist with administrative duties such as scheduling appointments, managing calendars, and organizing files.
- Maintain records of invoices, payments, and project documentation using and other software tools.
- Prioritize tasks and manage time effectively to meet deadlines and maintain workflow.
- Maintain a clean and organized front desk area to create a welcoming environment for visitors.
- Utilize Job Tread, Microsoft 365 applications, and QuickBooks to manage project documentation, schedules, and reports.
- Collaborate with team members to enhance office efficiency and productivity.
- Check company emails daily and respond promptly or escalate as needed.
- Provide bilingual support when necessary to assist diverse clientele.
- Assist with converting paper files into electronic records, ensuring proper categorization and storage.
Qualifications
- High school diploma or equivalent; associate degree preferred.
- Previous experience in a front desk or administrative role is preferred.
- Strong organizational skills with attention to detail to manage multiple tasks effectively.
- Excellent phone etiquette and communication skills for interacting with clients and staff.
- Bilingual abilities are a plus, enhancing communication with a wider range of clients.
- Proficiency in Microsoft 365 applications (Word, Excel, Outlook), Job Tread, and QuickBooks.
- Ability to work independently while also being an effective team player.
