Type of Employment : Full Time - Wage : $19 per hour

Summary / Objective :

The primary function of a Customer Service Coordinator is to work with the Dispatcher and Projector Coordinator(s) to effectively deploy the companies technical resources for maximum utilization. The primary duties include but are not limited to assisting with daily service requests as well creating and maintaining a project plan that communicates tasks, milestone dates, statuses and resource allocation.

Essential Functions :

  • Provide backup to all Dispatch duties.
  • Coordination of all support groups to ensure maximum utilization of billable resources.
  • Assist the Dispatcher with service requests as they arrive through email, manual entry, or direct customer input.
  • Assist with reviewing service tickets and edit accordingly for ticket completion.
  • Organize and coordinate small project to ensure on-time completion within budgetary requirements.
  • Understand overall project objectives, as well as the role and function of each project team member.
  • Schedule Technical Resources on the ConnectWise dispatch portal.
  • Coordinate internal resources and third parties / vendors for the flawless execution of projects.
  • Ensuring risks are identified, communicated, and mitigated and that projects are delivered successfully through to production.
  • Assist project team in design and development tasks.
  • Assist with monitoring resource’s schedules to ensure prompt time entries. Time entries to be completed by 9am the following morning for the previous day. Timesheets must be printed by 8am every Monday for Technical resources to review and sign.
  • Escalate service / project requests that cannot be completed by assigned Technical Recourse.
  • Escalate service / project issues that cannot be completed within agreed service levels to Operations manager
  • Communication with customers as required : keeping them informed of incident progress, notifying them of impending changes and agreed outages.
  • Ability to work in a team and communicate effectively.
  • Maintain a clean driving record – This position is required to drive a company vehicle to customer job sites and run errands for company.

Additional Duties and Responsibilities :

  • Assist with weekly van inventory reports and maintaining Inventory
  • Assist in receiving Freight
  • Assist with Vehicle Maintenance Management
  • Assist with breaking down boxes, recycling equipment or taking out garbage.
  • Communicate to customers by keeping them informed of progress, notifying them of impending changes, agreed outages, etc.
  • Maintain specific knowledge of the customer and how our services and products relate to their business strategy and goals.
  • Improve customer perception and satisfaction.
  • Ability to work in a team and communicate effectively.
  • Competencies :

  • Skill in planning and preparing written communications.
  • Interpersonal skills : such as telephony skills, communication skills, active listening and customer care.
  • Ability to multi-task and adapt to changes quickly.
  • Understanding of support tools, techniques, and how technology is used to provide services.
  • Self-motivated with the ability to work in a fast-moving environment.
  • Ability to manage competing priorities and maximize resources
  • Supervisory Responsibility :

    This position has no supervisory responsibilities.

    Work Environment :

    This job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Position Type / Expected Hours of Work :

    This is a full-time position, and hours of work and days are Monday through Friday, 8 : 00 a.m. to 5 : 00 p.m. Occasional evening and weekend work may be required as job duties demand.

    Travel :

    Travel is primarily local during the business day, although some projects may require more out-of-the area.

    Experience / Skills :

  • Ability to use Microsoft Office products to include Word, Excel, and Outlook
  • Interpersonal skills : such as telephony skills, communication skills, active listening and customer care.
  • Typing skills to ensure quick and accurate of entry of service request details.
  • Customer Service Experience required.
  • Self-motivated with the ability to work in a fast-moving environment.
