A growing wealth management firm is seeking an Operations Specialist to support their mission of helping clients achieve financial success. This role is vital to the firm's daily operations, ensuring efficient back-office processes, accurate client paperwork, and smooth office functionality.
Responsibilities :
Process new account openings, account transfers, contributions, redemptions, and beneficiary changes
Prepare and review client meeting update books
Send update meeting invitations and correspondence
Perform various operational activities to support office functions
Develop and maintain detailed written procedures for all activities
Greet clients and prospective clients ensuring a professional office visit
Manage incoming telephone calls, sort and distribute mail, and send client correspondence
Ensure client paperwork is accurately assembled, sent, and completed
Manage calendars for Wealth Advisors and other staff
Order and maintain office supplies
Coordinate with outside vendors as needed
Requirements :
Bachelor's degree in Finance or a related field
FINRA Series 7 license required; Series 65 (or Series 66) must be obtained after hire
Detail-oriented with excellent organizational and time management skills
Ability to manage multiple tasks within tight deadlines
Proficient in Microsoft Office Suite
Strong analytical and research abilities
Excellent verbal, written, presentation, and interpersonal communication skills
