Summary :
General Responsibilities :
The Bid Coordinator works with the sales team to analyze preliminary bid strategy for all BCS product lines and communicate all project details to the sales team.
Reports to : Inside Sales Supervisor
Direct reports : None
Direction :
Minimal supervision.
Major Responsibilities :
90% Provide support to sales staff for pre-bid opportunities.
- Search Plan Room sites and Bid Room sites for projects for new projects, addendums for existing projects and qualify projects for download.
- Review emails from SEs, Mechanical Contractors, and General Contractors and requests access to plans / specifications as required for download and review.
- Reviews and downloads upcoming projects and keeps up-to-date plans, addendums and bid dates for projects. Follow BCS Plan Room SharePoint folder structure.
- Post all upcoming jobs to the bid calendar and include all appropriate employees. Post project based on bid calendar template as determined by the Director of Sales.
- Conduct pre bid follow up on all addendums, contact listed general contractors and request mechanical and electrical bidders, and contact the mechanical and electrical bidders as directed.
- Compile HVAC equipment analytics for all jobs (whether we bid or not) and track in the BOD spreadsheet for projects containing products that we represent.
Track metrics as determined by the Director of Sales
Attends weekly bid meeting (Wichita and KC), documents action items in Sugar for all SEs and AEs, and sends summary email to all outside and inside sales personnel.
10% Engages in Personal Training and Development.
Studies literature and attends seminars to keep current on products, processes, and materials. Embraces feedback to be used for personal development.
QUALIFICATION : Education
Education
Experience in Engineering, Engineering Technology, Construction or related fields preferred but not required.
Skills and Experience
- Ability to multi-task and juggle multiple projects simultaneously.
- Excellent oral and written communication skills.
- Excels in a diverse team environment.
- One to two years of construction industry experience is beneficial.
- Well versed in the utilization of Microsoft Office (Word, Excel, Power Point and Outlook) and any relevant software applications.
- Mathematical abilities to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and create and interpret graphs.
- Ability to build rapport and strengthen relationships with new and existing customers.
- Highly organized, thorough and detail oriented.
- Strong problem-solving ability.
- Strong work ethic.
- Ability to evaluate urgency of situation and prioritize tasks.

Physical Requirements
Requires the ability to carry, lift, move or push up to 20 pounds on a regular basis and may be required to carry, lift, move or push 100 or more pounds on an occasional basis.
Must be able to talk and listen to others. Frequently uses hands or fingers to handle of feel. Frequent use of manual dexterity and visualization of a computer screen through the day.
Requires ability to see up close and distant, distinguish colors, peripheral vision, depth perception and the ability to adjust focus.
Work Environment
This position regularly works in an office setting and also frequently visits company sites in all types of indoor and outdoor conditions including near moving mechanical parts, in high, precarious places, extreme heat, cold and humidity.
Occasional exposure to toxic or caustic fumes or chemicals. Regular noise levels range from minimal to moderate, but may be very loud when visiting job sites.
Most of the job duties require the employee to be working with computers and electronic media on a regular basis.
