What are the responsibilities and job description for the Executive Assistant position at Be Group, LLC?
Be Group is assisting our client to identify and hire an Executive Assistant (AE) to join their US team. This position is onsite in their NY office.
The AE will support the firm’s Founding Partner and CEO and will be dedicated to ensuring the smooth and strategic planning of their daily schedule.
It’s an exciting, varied, and demanding role with considerable responsibility in a professional, high-level, and fast-paced office environment.
Significant multi-tasking is required, as well as liaison with your counterpart based in London.
Primary Responsibilities:
- Meeting scheduling and calendar management - Liaising with client offices and clients directly, as well as internal stakeholders when scheduling meetings
- Regular sending and drafting of emails to senior clients and contacts from the CEO (e.g. client deliverables, proposals, invitations, monthly newsletter, and meeting follow-up emails)
- Management of international travel and logistics
- Prepare and distribute meeting agendas for internal, and external meetings and briefings
- C-level tech support, ensuring the technology is up-to-date and ready for video conferences. Additionally, C-level apps and devices are current and running
- Ability to design, create, and work on PowerPoint presentations (also other MS Office tools)
- Some personal support will be required from time to time (e.g. family travel, passports, home office set-up)
- Collaborate to disseminate information into and out from the CEO
