Admin Assistant to Accounting Manager
Beach Getaways is a fast-growing Vacation Rental company based in Orange Beach, Alabama with offices and properties along the Beaches of the Alabama and Florida Gulf Coast. We are currently looking for an experienced, trustworthy and reliable professional to assist our In-house Accounting Manager.
Summary
The Admin Assistant will assist the Accounting Manager to compute, classify, record, and verify numerical data for use in maintaining the accounting records. This position requires strong organizational and analytical skills with a high degree of attention to detail. The ability to set priorities and work in a team directed environment are a must. The Admin Assistant will support Accounting Manager with many varied duties as needed.
Essential Duties
• Compile, sort and file documents, such as invoices, receipts and checks, substantiating business transactions
• Post, review and approve invoices against purchase orders, research discrepancies and process invoices for payment
• Reconcile vendor statements & prepare checks, reports, and other records
• Assign appropriate sales and use tax codes to invoices as required
• Obtain required approvals to allow for payment of invoices
• Code data for input to financial data processing system according to company procedures
• Maintaining documents and spreadsheets for the tracking of revenue and tax payments
• Obtain, code, and maintain W9 information for all Vendors to be used for IRS 1099 filing
• Review for accuracy and post owner/vendor checks/payments to appropriate accounts/reservations
• Perform general administrative tasks, such as filing, data entry, and document management
Qualifications:
• Must be extremely organized with Strong attention to details

• Excellent communication, both written and verbally
• Accounts Payable experience & basic knowledge of accounting practices is needed.
• Proficiency in MS Office Word, Excel, and Outlook.
• Must have ability to multi-task and prioritize multiple responsibilities in a deadline driven environment.
